Position Summary:
We are seeking a dedicated and experienced Registrar to join our team. The Registrar is responsible for managing student records, coordinating registration processes, and ensuring compliance with academic policies and procedures. The Registrar plays a crucial role in maintaining the integrity and confidentiality of student data, supporting academic administration, and enhancing the student experience.
Job Description:
1.
Student Records Management:
- Maintain accurate and up-to-date student records, including enrollment, grades, transcripts, and attendance.
- Ensure the security and confidentiality of student information in accordance with institutional policies and regulatory requirements.
- Manage the storage and retrieval of academic records and other relevant documentation.

Registration and Enrollment:
- Coordinate the registration process for new and returning students, including course scheduling and enrollment verification.
- Provide guidance and support to students during the registration process, addressing any questions or concerns.

Academic Policies and Compliance:
- Ensure compliance with institutional academic policies, procedures, and accreditation standards.
- Implement and enforce policies related to grading, course withdrawals, and academic standing.
- Stay informed about changes in regulatory requirements and ensure campus practices are aligned with these updates.
4.
Graduation Audits:
- Conduct audits to verify that students have met all graduation requirements.
- Coordinate the preparation and distribution of diplomas and certificates.
- Assist in planning and organizing graduation ceremonies and related events.

Data Reporting and Analysis:
- Generate and analyze reports related to student enrollment, academic performance, and retention.
- Provide data and insights to support campus decision-making and strategic planning.
- Collaborate with institutional research and other departments to ensure data accuracy and integrity.

Student Support and Advising:
- Assist students with academic inquiries, including transfer credits, transcript requests, and academic standing.
- Provide information and support regarding academic policies, procedures, and deadlines.
- Refer students to appropriate campus resources for additional support and guidance.

Collaboration and Communication:
- Work closely with faculty, academic advisors, and campus administration to support academic operations.
- Communicate effectively with students, staff, and faculty regarding registration, records, and academic policies.
- Participate in campus meetings, committees, and professional development activities.
8.
Technology and Systems Management:
- Utilize and maintain the student information system (SIS) and other relevant software to manage student records and registration processes.
- Identify opportunities to enhance efficiency and accuracy through the use of technology.
- Train staff and faculty on the use of the SIS and related systems.
9.
Problem Solving and Conflict Resolution:
- Address and resolve issues related to student records, registration, and academic policies.
- Mediate and resolve conflicts or discrepancies in student information and academic records.
- Implement solutions to improve processes and enhance the student experience.
10.
Ethics and Integrity:
- Uphold the highest standards of ethics and integrity in all interactions with students, colleagues, and other stakeholders, ensuring compliance with Unitech Training Academy’s policies and procedures, as well as relevant regulatory requirements.
Qualifications:
- Bachelor’s degree in Education, Administration, Business, or a related field preferred.
- Minimum of 2 years of experience in registrar services, academic administration, or a related role preferred.
- Strong knowledge of student information systems (SIS) and data management practices.
- Excellent organizational, communication, and interpersonal skills.
- Attention to detail and a commitment to maintaining the confidentiality and integrity of student records.
- Ability to work independently and as part of a team in a fast-paced environment.
- Familiarity with accreditation standards and regulatory requirements in higher education.
- Strong problem-solving skills and the ability to handle multiple tasks and priorities.
