Description Incumbent is an ancillary administrative staff member in the Family Practice Clinic who receives supervision from the office manager and practice administrator. Incumbent exercises organizational skills and effectively demonstrates knowledge and skills by utilizing effective communication with children, adolescents, adults and geriatrics. This role performs registration duties and office related tasks. Operates applicable computer programs to include the Electronic Health Record and Microsoft Office suite. The incumbent’s duties ensuring proper patient check -in and check- out processes and all duties related to patient traffic flow in the clerical area and waiting room. Duties also include answering the phone, routing calls and confirming appointments. Incumbent may be assigned to other duties as required to provide smooth operation of the clinic. Incumbent will maintain a customer/patient-oriented awareness in acknowledging and responding to needs as they occur to assure that customer/patient satisfaction is met at all times. Incumbent works independently under the general supervision of clinic management. Completed work is reviewed for accuracy in terms of orientation checklists, university policies and procedures, federal/ state laws, JCAHO guidelines. HIPPA privacy standards are ensured. Regular attendance is required to perform the functions of this position. Lunch/breaks are dictated by workflow; normal work hours are 8:00-5:00 (M-F); overtime may be required.

ESSENTIAL FUNCTIONS

60% Patient Related functions Performs the registration process for the clinics within the division including interviewing patients, recording and revising data.
Updates patient’s demographics; screening data, account/ medical record numbers, address, phone number, insurance and employment on each return visit and posts in patient’s permanent record.
Obtains all required signatures for registration of patients.
Willingly performs other duties to facilitate the processing of patients or the functioning of the clinic as needed
Greets the patients as they arrive at the clinic; provides excellent customer service.
Verifies that the patient information is correct when the patient checks-in.
Makes copies of the insurance cards, Verifies insurance information
Obtains medical records and responds to medical record requests.
Notifies the team of patient arrival.
Answers and routes calls appropriately.
Confirms appointments for the next day
Schedules appointments for clinic patients including new, follow-up.
Contacts transport and other public agencies.
Assures confidentiality of patient information
Assists with processing patient referrals, incoming and outgoing
Check-out patients
Contacts patient for rebooks/ reschedules
Monitors no-show rate
Handles patient messages, return calls as needed and to assist nursing staff as requested
Assists with obtaining prior authorizations 35% Administrative/ Office functions Collections co-pays and performs end of day reconciliations of funds.
Organizes incoming data regarding patients needing appointment including discharged patients, in-house patients, and monthly changes to MD schedule.
Utilizing appointment system, enters and maintains accurate patient attendance statistics including walk-ins, no shows, and rescheduled appointments.
Collects and distributes mail
Economical use and ordering of office supplies.
Cleaning and organization of work area
Answers phone, triaging messages
Communicates with outside organizations
Regular communication with clinic physician and clinical staff. Supports clinical staff as needed.
Attend departmental meetings and services on committees as needed
Annually completes mandatory education for compliance, safety and quality 5% Marginal functions Performs other related duties as delegated or assigned by Clinic Management.
Qualifications The applicant must meet the following: One (1) year of medical office work experience
Excellent computer and clerical skills
Preferred Qualifications
Business Office or Medical Assistant Certification
