Position Summary:

Clearview Counseling Group of MA is seeking a highly organized, compassionate, and detail-oriented Bilingual (Spanish/English) Referral Coordinator & Intake Specialist to join our administrative team. This vital hybrid role offers the flexibility of remote work combined with necessary in-office presence. You will serve as the first point of contact for many of our prospective clients, guiding them through the intake process, verifying insurance benefits, and coordinating referrals to ensure a smooth and accessible start to their mental health journey. The successful candidate will possess excellent communication skills in both English and Spanish, a strong understanding of mental health services, and proven experience in a medical or mental health office setting. This position will involve weekend availability and later weekday hours (e.g., starting later in the day and ending later in the evening) to accommodate our clients’ diverse schedules.

Key Responsibilities:
Client Intake & Onboarding:

Serve as the primary contact for new client inquiries via phone, email, and online portals, providing a warm and empathetic initial experience. Conduct comprehensive intake interviews in both English and Spanish to gather necessary demographic, clinical, and insurance information. Explain company policies, procedures, and service offerings clearly and concisely to prospective clients in their preferred language. Ensure all intake documentation is accurately completed and entered into the Electronic Health Records (EHR) system. Maintain strict confidentiality of all Protected Health Information (PHI) in accordance with HIPAA Privacy and Security Rules.

Insurance Verification & Authorization:

Verify client insurance eligibility and benefits for mental health services prior to the first appointment, communicating directly with insurance providers. Understand and explain complex insurance terms, co-pays, deductibles, and out-of-network benefits to clients in an understandable manner. Obtain necessary pre-authorizations or referrals as required by insurance plans. Address insurance-related questions and concerns from clients, providing accurate information and guidance.

Referral Coordination & Scheduling:

Assess client needs and preferences to facilitate appropriate referrals to internal clinicians or external providers as needed. Coordinate and schedule initial appointments between clients and therapists, managing therapist availability and caseloads, specifically for our weekend and evening slots. Maintain accurate referral logs and track client progress through the intake pipeline. Collaborate closely with clinicians and administrative staff to ensure seamless client transitions.

Administrative Support:

Assist with general administrative tasks as needed to support the efficient operation of the practice. Utilize practice management software and EHR systems proficiently for scheduling, documentation, and communication. Adhere strictly to all HIPAA regulations and company privacy and security protocols. Identify and report any potential HIPAA violations or security incidents to the appropriate supervisor.

Qualifications:

Minimum of 2-3 years of experience in an administrative or intake role within a mental health, healthcare, or medical office setting. Fluency in both Spanish and English (written and verbal) is required. Demonstrated experience with client intake processes, including gathering sensitive personal and health information. Proven experience with insurance verification, benefit explanation, and obtaining authorizations for healthcare services. Proficiency in scheduling software and Electronic Health Records (EHR) systems Strong understanding of HIPAA regulations and commitment to maintaining client confidentiality. Exceptional interpersonal and communication skills, with the ability to empathize and build rapport with clients from diverse backgrounds. Excellent organizational skills, attention to detail, and ability to manage multiple tasks efficiently in a fast-paced environment. Ability to work independently and as part of a collaborative team in a hybrid work environment. High School diploma or equivalent required; Associate’s or Bachelor’s degree in healthcare administration, psychology, or a related field preferred.
