Job Description:

Associate Registrar (Two Positions) Reporting to the Registrar, the Associate Registrars assist in managing all aspects of the daily operations of the Registrar’s Office. The Associate Registrars are responsible for departmental leadership in the absence of the Registrar and make recommendations for workflows and process improvements.

Scheduling & Operations :

The Associate Registrar of Scheduling & Operations is responsible for coordinating the master schedule, degree conferral, room scheduling, and project management. This Associate Registrar supervises several administrative assistants and clerical staff and is responsible for promoting a strong culture of customer service, managing the day-to-day operations of their team, and training staff to ensure accuracy of records and processes.

Academic Programs & Systems:

The Associate Registrar of Academic Programs & Systems is responsible for curriculum management and accurate updates to college systems and publications. The Associate Registrar will provide oversight for degree audit, transfer evaluations, maintenance and assessment of records for compliance and assurance Essential Job Functions –

Associate Registrar of Scheduling & Operations:

Manages the production of the master course schedule, working closely with all academic division deans and department chairs. Provides draft schedule for academic review, completes and processes all edits, ensuring accuracy of course offerings and customizations. Reviews final draft with the Chief Academic Affairs Officer for publication. Responsible for classroom assignments and organizing special project requests in coordination with Information Technology and Facilities Management. Oversees the conferral process for student graduation and diploma orders. Project management for system upgrades and new technology implementations including timeline, task lists, troubleshooting, documentation, and recommendations for future upgrades. Responsible for Banner data integrity. Identifies, troubleshoots, and corrects data. Works with Student Central, Admissions, Testing, Student Accounts, Advising, Career & Transfer Center, and Financial Aid on diagnosing and troubleshooting errors in the Banner Student Module. Provides error resolution from discrepancy reports. Updates Banner Data Standards document and trains staff on established standards. Serves on several committees, including the Orientation/Onboarding committee to help plan and organize orientations and the Standards Committee to evaluate and implement academic policies regarding student services and degree programs. Works with the Marketing team to ensure accuracy of the print and electronic version of the schedule of courses, ensuring accurate schedule and policy/procedures information on related pages. Monitors departmental email accounts and timely accurate responses Essential Job Functions –

Associate Registrar of Academic Programs & Systems:

Maintains Degree Works software by testing upgrades and patches, working closely with the Office of Information Technology. Using Scribe, completes and assesses all curriculum changes in the system, ensuring accuracy of programs and requirements. Diagnoses, monitors, and troubleshoots all course placement issues. Oversees the processing of exceptions, substitutions, and waivers. Assists with the administration of Degree Works security. Manages National Student Clearinghouse enrollment and degree reporting. Supports the Financial Aid Office for Title IV federal compliance efforts. Ensures data quality assurance reports and error checks. Oversees student unofficial withdrawal process for financial aid purposes. Coordinates transfer credit evaluation, developing catalog of courses accepted in transfer, reverse transfer, program changes and office marketing with assigned staff. Work with other divisions facilitating the registration process for contract courses. Project management for system upgrades and new technology implementations including timeline, task lists, troubleshooting, documentation, and recommendations for future upgrades. Edits college catalog in Banner in accordance with curriculum changes. Represents the Registrar’s Office at Curriculum meetings. Updates all program and develops documents to update advisors on curriculum changes. Works with Marketing Department to ensure accuracy in the print and electronic version of catalog information. Responsible for updating of Registrar’s Office web pages, ensuring correct curriculum and policy information. Oversees maintenance of academic policies as they relate to student records. Coordinates implementation of policies/procedures related to catalog maintenance and access. Serves on a number of school-wide committees, including the Enterprise Technology committee to discuss Enterprise applications, issues, and potential updates/upgrades.

Shared Essential Job Functions:

Helps create Argos reports for registrar systems. Serve as campus SIS trainer and point of contact as necessary. Responsible for student directory information including notifications to students, maintenance of student confidentiality, and military requests. Develops policies and procedures in alignment with Federal laws and correct management of transcripts and records. Responsible for implementation of FERPA regulations and provision of information to students and staff. Creates training documentation for system upgrades and new technology. Coordinates training for general office staff and college staff as necessary. Analyzes business processes to ensure logical use of time and resources in the office and student services. Responsible for requests for transcript generation and disbursement. Resolves errors with transcripts and makes appropriate adjustments to historical records. Serves as liaison to Information Systems and transcript vendor to troubleshoot technical issues Helps with college events such as commencement, orientation, open house, and other events as necessary. Supervises administrative staff and helps triage student issues to provide excellent customer service; collaborates with student service offices on resolutions. Occasional weekend and evening hours are required. Other duties as assigned.

Job Requirements:

Bachelor’s degree in Education, Psychology, Communications, Counseling, Human Services, Management, Marketing, or closely related field; Master’s preferred. Three or more years of experience in higher education, enrollment management or student services, preferably in a community college setting. Previous supervisory experience. Thorough understanding of student regulations and policies in the higher education environment such as FERPA. Significant experience working with technology such as student information and data management systems or equivalent combination of education, training, and experience. Work-related experience which reflects advancement in an area of responsibility. Proven track record of providing high-quality customer service. Experience interpreting and explaining policies and procedures. Experience planning and conducting training in a higher education setting. Excellent organizational, interpersonal, and oral and written communication skills.

Preferred:
