Full Job Description Description:
GENERAL OVERVIEW

Responsible for overseeing the daily operations of the team of Patient Service Representatives. This includes staff at the front reception desk and the call center. This role also performs the duties of check in/out at the front desk. Provides exceptional customer service, manages patient check-in and check-out processes, handles patient inquiries, schedules appointments, and ensures a smooth and efficient patient flow. Plays a crucial role in creating a positive and welcoming experience for all patients. Provides leadership, training, and support to the PSR team, fostering a positive and productive work environment.

JOB DUTIES AND RESPONSIBILITIES
Supervisory Responsibilities:

Supervises, trains, and mentors Patient Service Representatives. Conducts performance evaluations and provides feedback to PSR team members. Creates and maintains PSR work schedules, ensuring adequate coverage for clinic operations. Oversees the collection and processing of patient payments. Addresses and resolves patient and staff concerns and complaints. Monitors PSR performance metrics, such as wait times, call volume, accuracy and efficiency of check in/out processes.

Front Desk Responsibilities:

Greets customers in a polite, prompt, and helpful manner. Provides any necessary instructions/directions. Informs appropriate department/person of patients’ arrival. Manages the patient check-in and check-out process. Updates patient demographics and insurance. Provides any necessary forms needing completion and obtains signatures. Generates information necessary for billing. Collects copays, deductibles, and past-due balances. Maintains and updates current information on physicians’ schedules, ensuring that patients are scheduled properly and appointments are confirmed. Answers patient inquiries regarding appointments, billing, insurance, etc. Communicate effectively with patients, physicians, nurses, and other clinic staff. Maintain a clean and organized reception area. Performs other duties as assigned.

Requirements:
QUALIFICATIONS

High school diploma or GED. Minimum of 1-2 years of experience in a medical office or customer service role, preferably in a healthcare setting. Excellent communication, interpersonal, and active listening skills. Ability to multitask and prioritize tasks effectively. Strong computer skills, including experience with EMR systems. Knowledge of medical terminology and procedures is a plus. Ability to work independently and as part of a team. Ability to work in a fast-paced stressful environment Minimum of 40 words per minute typing.

PHYSICAL/MENTAL DEMANDS

Sitting for 8 hours/day. Requires eye-hand coordination, finger dexterity. Vision must be corrected to 20/20 and hearing must be in normal range. Must be able to view computer screens for long periods.

WORK ENVIRONMENT

This job operates in a busy medical office environment. Interaction with patients and staff is frequent. This role uses standard office equipment such as computers and phones.
