Student Services Job Description Responsibilities:
Act as the primary liaison for the development, coordination, and management of non-credit Continuing Education (ConEd) courses and student registration.
Ensure the ConEd registration process adheres to NCCCS (North Carolina Community College System) guidelines.
Verify that all required documentation-such as medical records, drug tests, background checks, and DOT physicals-is completed prior to student enrollment.
Serve as the primary contact for prospective and current students regarding class offerings, responding to inquiries via phone, email, and in-person visits.
Monitor and track students funded through workforce grants. Submit check requests and manage tuition reconciliation processes for these students.
Administer and manage grants and tuition reimbursement processes for students and programs in the Hampton Roads and Newport News regions.
Oversee all aspects of customized, industry-specific training, including identifying instructional needs, recruiting and scheduling instructors, and coordinating course logistics.
Maintain and monitor the customized training budget, particularly instructor compensation and related expenses.
Serve as the primary contact for industry partners to ensure that training programs align with employer needs and workforce development goals.
Assist with the management of student academic records, registration, grade processing, and transcript services in coordination with the Registrar’s Office.
Run and analyze reports using Informer and other institutional data tools to support decision-making and compliance efforts.
Ensure adherence to institutional policies, FERPA regulations, and accreditation standards across all assigned responsibilities.
Provide frontline support to students, faculty, and staff regarding academic procedures, registration issues, and policy interpretation.
Assist in the planning and execution of commencement ceremonies and other institutional academic events.
Generate requested reports and contribute to data analysis for the Registrar. Serve as acting Registrar in their absence, when assigned.
Support continuous improvement projects and participate in the development of process enhancements within the Registrar’s Office.
Perform other duties as assigned by the Dean of Student Affairs, the Dean of Continuing Education, or other senior administrators.
COMPETENCIES
Knowledge and experience in general office management. Ability to handle a wide range of administrative and support related tasks independently with minimal supervision. Well-organized, flexible, and ability to uphold the mission and vision of Roanoke-Chowan Community College in every aspect of the work. Ability to maintain a high level of professionalism and confidentiality while interacting with internal and external stakeholders while remaining adaptable, proactive, resourceful, and efficient. Excellent communication skills both orally and in writing. Ability to prioritize, attention to details. Proficiency in computer and office software applications. Minimum Qualifications Bachelor’s degree from an accredited institution. At least two years of experience working with students in an educational setting. Proficiency in word processing and spreadsheet applications. Strong ability to multitask, solve problems, work independently, exercise sound judgment, and complete detailed tasks with accuracy. Flexibility to provide support outside regular business hours when needed, with appropriate notice. Preferred Qualifications Master’s degree from an accredited institution, with experience in Student Services or Student Affairs within higher education. Experience with Continuing Education or non-credit course administration.
