The Assistant Registrar-Student Certification serves as the primary contact and expert for NCAA and VA academic certification within the Office of the Registrar, processes student status changes, and interacts on a regular basis with students, faculty, and staff. This is a full-time, benefits-eligible position reporting to the Registrar. This position is exempt from provisions of the Fair Labor Standards Act (FLSA) and is not eligible to earn overtime pay or compensatory time off for additional hours worked. This position is not eligible for visa sponsorship. Essential Duties and Responsibilities Determine eligibility per NCAA standards of recruited student-athletes by reviewing and evaluating transfer credit
Import and maintain student-athlete data in the appropriate NCAA software
Monitor continuing eligibility of student-athletes in compliance with NCAA standards
Monitor registrations and degree progress of student-athletes to ensure that course enrollment is applicable to the declared degree program
Complete degree audits of student-athletes. Notify students and advisors of graduation status and review all requests for the substitution of degree requirements.
Clear student-athletes for degree conferral.
Assist with NCAA reporting
Assist with athletic academic awards for student athletes
Collaborate with Queens University Athletics Compliance Office to ensure compliance with all NCAA standards and requirements.
Serve as the Veterans Affairs (VA) Liaison and the primary VA School Certifying Officer (SCO). Stay abreast of changes in VA support and impact on students. Ensures the accuracy of enrollment verification for VA students in Enrollment Manager. Collaborate with the Student Financial Services Office VA liaison on enrollment certifications for financial aid purposes and tracking. Ensures the accuracy of enrollment verification for VA students. VA reports; annual catalog approval process; complete required annual training.
Manage the registraremail account and communicate with students, faculty, and staff regarding academic policies, procedures, and deadlines.
Remains competent and current through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses required by the Registrar.
As part of the Registrar’s team, maintains and ensures integrity of academic records related to grades, transcripts, audits, and other academic issues.

Secondary Functions:

Leverage and implement improvements to existing systems and business logic to enhance system efficiency. Create process documentation and instructional materials
Serve as an office liaison with various offices, committees, and represent the Office of the Registrar at administrative meetings.
Ensure a continuously high level of customer service to both internal and external constituents.
Maintain compliance with FERPA, federal and North Carolina regulations and university policies.
Ensures a work environment that promotes mutual collaboration and continuous learning and development of all members.
All staff will function as generalists in all areas of registrar daily business.

Non-Essential Duties:

Other duties and special projects may be assigned to meet department and/or university needs. Experience, Knowledge & Skills Required Full-time experience working in higher education.
Thorough knowledge of policies, procedures, and NCAA rules and regulations pertaining to athletics in higher education and to the functions of the Office of the Registrar. Division I experience preferred.
A bachelor’s degree from a regionally accredited institution of higher education; master’s degree preferred. Related combination of education or experience considered.
Understand crucial nature of data; demonstrates impact on the Office of the Registrar and institution and performs duties in a proactive, strategic manner.
Strong communication skills. Must be capable of handling difficult and sensitive situations.
Ability to manage multiple projects and deadlines simultaneously.
Exceptional follow-up and follow-through skills as well as ability to plan, organize and control large and small projects through to completion.
Strong organizational and time management skills with accuracy and attention to detail.
Possess a logical and questioning mindset, ability to analytically solve simple and complex problems.
Experience with an ERP system.
Demonstrated commitment to inclusive and equitable organizational environments.
Ability to work independently and contribute to a team environment.
