The Intake Coordinator plays a crucial role in the client onboarding process and contributes to ensuring a seamless and professional experience for all clients. This role requires handling a high volume of phone calls. Must be able to work flexible hours. No recruiter emails or phone calls please. Responsibilities include, but not limited to: Respond to all client inquiries by phone, email, chat, etc. in a timely manner Engage in warm and professional conversations with potential clients Build rapport, establish trust, and ensure clients feel heard and understood while walking them through the intake assessment Effectively communicate the firm’s vision, mission, and core values to potential clients Set up new client case files in Neos Case Management System Confirm receipt of all relevant documents (i.e., legal documents, medical records, billing records, lien information) Maintain accurate and detailed records of all client interactions and information in our database Assist with documentation, data analysis, conversion rates, and client referrals Responsible for Key Performance Indicators (KPI’s) and subsequent reporting Provide accurate and comprehensive information about the client and their case to facilitate efficient case management All other duties as assigned
Qualifications:
Associates degree or higher preferred; high school diploma or equivalent required Minimum of two (2) years of customer service experience required Minimum of one (1) year experience in a law firm preferably personal injury preferred Must have working knowledge of the intake process and general client experience as it pertains to law firms Basic to Intermediate knowledge of MS Word, Excel, and Outlook Attention to detail and ability to multitask while handling a high volume of phone calls Must have a passion for customer service and advocating for our clients
