Job Description
Bilingual In-Person Intake Assistant – ABA Therapy Bright Achievements NJ Manalapan, NJ 07726 We are seeking a compassionate, detail-oriented, and bilingual (English/Spanish preferred) In-Person Intake Assistant to support our ABA therapy services. This individual will be responsible for facilitating the intake process for new clients and families, ensuring a smooth and culturally sensitive introduction to services. The Intake Assistant will work closely with clinical and administrative staff to gather required documentation, coordinate intake appointments, and support family engagement at the start of services.
Key Responsibilities:
Serve as the first point of contact for families during the in-person intake process Facilitate completion and collection of intake forms, insurance documents, and assessments Ensure families understand ABA services and the intake process in a culturally responsive and respectful manner Translate and interpret between English and Spanish (or other languages as needed), both verbally and in writing Complete spreadsheet updates as needed Maintain accurate and confidential documentation in compliance with HIPAA and company standards Provide families with follow-up support regarding any outstanding paperwork or next steps via phone calls, emails or other preferred forms of communication Collaborate with clinical, billing, and administrative departments to ensure a seamless intake transition Assist with data entry, tracking of client status, and preparing intake packets or materials, as needed Participate in team meetings, training, and quality assurance activities as required
Qualifications:
High school diploma or equivalent required; associate or bachelor’s degree preferred Bilingual proficiency in English and Spanish (oral and written) required Previous experience in healthcare, mental health, social services, or ABA setting strongly preferred Strong interpersonal and communication skills, especially with diverse populations Ability to manage sensitive and confidential information with professionalism Organizational skills with attention to detail and timelines Familiarity with ABA therapy or willingness to learn basic terminology and procedures Proficient in using digital tools such as Google Workspace (Docs, Sheets, Calendar), electronic health records (EHRs), and other office systems Reliable transportation to conduct in-person intakes at various office or community locations if applicable
