Job Description:
GENERAL FUNCTIONS
Ensure that the policies and procedures of the records function of the Records Office and the College are properly planned and managed to maintain the accuracy and integrity of student related information. Responsible for the implementation and enforcement of state and federal regulations and policies. Responsible for the appropriate implementation of computerized processes for all records.
SPECIFIC RESPONSIBILITIES
Coordinates the registration activities for credit and non-credit students in consultation with colleagues across the division of Academic Affairs.
Responsible for the maintenance of all academic records of students and all records of registration and course activities (e.g., grade rosters, class rosters, course schedules, transcripts, calendar of registration activities, athletic eligibility, etc.).
Responsible for the maintenance of records preparation of credit and non-credit reports on registration, supplemental funding, and degrees for State University and the State Education Department, which are subject to audit by the New York State Department of Audit Control.
Supervises the flexible enrollment processes for an evolving population of non-degree seeking students currently including but not limited to: cross registrants (SUNY and area consortium[s]), SUNY Online, IPERC, Genesee 4 Life, Micro credentials, Auditors (Senior and regular), and other special programs as required.
Participates in the testing and implementation of technology-based student systems, upgrades, patches, and new enhancements with other administrative offices.
Provides consultation, oversight, and problem solving for student records system users.
As Records Management Officer, responsible for leading the coordination of college’s records management.
Responsible for the preparation and dissemination of graduate diplomas.
Oversees the transmission of the National Student Clearinghouse files.
Serves on the software implementation project teams.
Serves on the Administrative Systems and Data Integrity Committee.

Master’s Degree
Experience
A minimum of three years related experience, preferably in a registrar’s office and at the community college level. Applicants must have experience in an interactive computing environment and with student records technology (BANNER preferred). Supervisory experience required.
Knowledge, Skills & Abilities
Experience with and knowledge of current practices and standards in academic records management for community colleges. Knowledge of federal laws, regulations, and reporting requirements relevant to student records. Knowledge of institutional research and demonstrated data analysis and reporting skills. The successful candidate must demonstrate the ability to convey technical knowledge to non-technical personnel as well as the ability to work collaboratively with a diverse population of students, faculty, and staff. Must demonstrate a strong commitment to student success.

Reporting to this position:
Assistant Registrar assigned to the Records Office.
Technical Specialists assigned to the Records Office.
All full- and part-time Civil Service staff assigned to the Registrar’s Office area.
SALARY AND CONDITIONS OF EMPLOYMENT
This is a full-time, year-round position at 35 hours per week and is compensated at a starting rate of $70,384.41/annual which is dependent upon educational background and experience. A full time presence on campus is required. This position is classified as Management/Confidential (exempt) by the College and is not represented by a bargaining unit.
