PatientServices Representative is responsible for the completion of setprocesses and protocols. Works cooperatively with all members ofthe care team to support the vision and mission of theorganization, deliver excellent customer service and adhere to Leanprocesses. Supports the teams in meeting financial, clinical andservice goals. The Patient Services Representative greets andregisters patients in a prompt, pleasant and helpful manner, aswell as instructs, directs, and schedules patients and visitors.

The Patient Services Representative receives payments frompatients, issues receipts and posts payment data.

Schedule:

Officeis open seven days a week. This role would consist of a 37.5 hourwork week, between the hours of 11:30 am to close (approximately8:30 pm). The schedule will be determined by the supervisor uponhire.

PrimaryResponsibilities:

  • Takes initiative to keepinformed of new/revised Policy and Procedures, Standards of Careand incorporates these into practice
  • Attends and participates inmandatory quarterly staff meetings or reads minutes
  • CompletesMandatory Education annually

  • Demonstrates good judgment in escalating difficultsituations and people to Management personnel
  • Demonstratesprofessionalism in attendance & punctuality. Consider number ofunauthorized or unscheduled absences, a pattern of before and afterweekend absences, tardiness and early departures, and long mealperiods in accordance with CRHC policy
  • Promotes a positive workattitude fostering teamwork and acceptance of management decisions
  • Supports peer to peer training initiative for new PatientServices employees
  • Assists co-workers whenever possible, toachieve office goals / patient satisfaction
  • Works independently,takes initiative in completing assignments and does so withoutreminder
  • Completes all miscellaneous work assigned by leadershipor Physician accurately and in a timely manner
  • Opens office asneeded; turns on copiers, terminals and printers, and updatescomputer for current day’s session
  • Communicates with clinicalstaff to keep patient informed of appointment status
  • Verifiesinsurance eligibility and coverage by phone, independent website,RTS, Phreesia or at time of service
  • Verifies patient demographicand insurance information at time of visit. Assures all demographicand insurance information is accurate, complete and up to date inthe patient’s chart. Scans current insurance card and photoidentification into system
  • Provides, explains and reviews foraccurate completion, all Registration forms, i.e. PatientRepresentative, Patient Registration form, and Family Informationform where applicable and obtains signatures as required
  • Providesand explains the Authorization to Release Health Information topatient at their request
  • Determines balances due including pastbalance, co-payments, co-insurance and deductibles, referring toPatient Accounts as necessary; takes responsibility for collectingand posting payments from patients at time of service via checks,cash or credit card in compliance with Cash Control Policies andProcedures
  • Invite patient’s with the Patient Portal enrollment(PxP) in compliance with Meaningful Use guidelines
  • Provides Aftervisit Summary in compliance with ACO guidelines
  • Prepares BatchReport daily to total and balance collections
  • Begins the check inprocess in EPM, Phreesia, and Siemens. Act on notations in allsystems and completes the auto-flow process successfully
  • Schedules /Cancels /Reschedules patient appointments as ordered bythe physician adhering to scheduling policies and procedures
  • Obtains or issues HMO insurance referrals as required for maximumreimbursement of services rendered
  • Notifies management or otherdepartments appropriately using Clerical Templates for variousissues/requests/reasons
  • Maintains supply inventories andequipment necessary for the effective performance of the job;communicates supply needs to the office supervisor in a timelymanner
  • Maintains a neat, organized, orderly environment in thereception and waiting room areas, i.e . magazines, physicianbusiness cards, brochures, signage, etc
  • Closes office as needed,ensuring that lights, terminals and office machines have beenturned off and all patients accounted for and discharged. May berequired to set alarm
  • Actively demonstrates good oral and writtencommunication skills with both internal and external customers
  • Demonstrates flexibility in schedule to meet patient and officeneeds
  • Works with a sense of urgency

Required Qualifications:
  • High SchoolDiploma/GED (or higher)
  • 1 years of customer service or healthcarerelated experience
  • Intermediate level of computer proficiency(including being able to work on multiple web browsers using dualmonitors at the same time to include Microsoft Outlook)
PreferredQualifications:
  • Experience as a receptionist in a healthcaresetting
  • Experience working with an electronic health records
  • Experience working with scheduling programs
  • Knowledge and abilityto learn and apply job functions, and minimal medical terminologyknowledge

New York Residents Only:

The salary rangefor New York residents is $16.00 to $28.27 per hour. Pay is basedon several factors including but not limited to local labormarkets, education, work experience, certifications, etc.
