Job Description

Student Records Coordinator The Office of the Registrar seeks a full-time Student Records Coordinator at the university’s location in Saratoga Springs, NY. Reporting to the Associate Registrar, the Student Records Coordinator is responsible for services dedicated to supporting a wide range of constituents including students, alumni, and staff. The Office of the Registrar at SUNY Empire provides a wide range of services for students, alumni, faculty, and staff, which include recording and reporting academic information, calculating, recording, and reporting academic standing, graduation clearance, transcript services, transfer evaluation, enrollment verifications and certifications, collaboration on the academic calendar, enrollment reporting and forecasting, and publications including the term guide and the college catalog. The office maintains all official student, alumni, and curricular records for the college, and it ensures the accuracy and integrity of the curricular and student records. Responsibilities include, but may not be limited to: Assist with certifying student veteran benefits and serve as a Veteran Certifying Official for Empire State University. Oversee the office’s paper document scanning project and serve as the office’s point-of-contact for file storage policies, ensuring accurate maintenance and record retention of student records. Assist staff members with Banner Document Management (BDM) questions and troubleshooting needs. Manage the review and correction of student duplicate records. Process registration requests, supporting students, staff, and faculty with both procedural and troubleshooting aspects of course enrollment. Maintain a high level of customer service to students, faculty, staff, and all others who seek assistance from the Office of the Registrar through email, phone, and ticketing system. Develop and maintain a strong working knowledge of FERPA requirements as it applies to student records.

Job Requirements:
Required Qualifications:

Bachelor’s degree from a regionally accredited institution. A minimum of one-year experience working in a complex organizational setting. Attention to detail, thoroughness and follow through. Ability to work collaboratively and to independently solve problems. Strong computer skills including proficiency in MS Word and Excel, with the ability to learn a wide variety of technology. Excellent oral and written communication skills. Ability to multi-task.

Preferred Qualifications:

Prior experience in higher education registrar’s office or closely related student service unit. Experience utilizing student information systems, particularly Banner. Experience working with active military or veteran students. Bilingual and biliterate in Spanish and English. Experience working in a distributed environment. Experience working with an adult student population. Prior experience working effectively with faculty, staff, and students from diverse linguistic, cultural, and socioeconomic backgrounds.

Special Information:
