As an Office Assistant II in our busy primary care practice, you’ll play a critical role in supporting both patients and staff. Your responsibilities will include scheduling appointments efficiently, assisting clients in person and over the phone, and coordinating communication between departments. You’ll also ensure accurate demographic and insurance information is collected and entered. Responsibilities:

Verify necessary information and records in the medical record and computerized scheduling system and prepare patient charts for upcoming appointments. Complete necessary paperwork such as encounter forms and referrals and use computer system to generate information necessary for billing. Maintain a clean, orderly waiting area including beverage area and reading materials. Answer questions regarding patient appointments and testing. Greet and register patients in a polite, prompt, helpful manner, provide any necessary instructions/directions, and inform appropriate department/person of person’s arrival, performing appropriate check-in and check-out functions. Assist with inpatient billing process. Assist physicians with transcription and dictation issues/concerns and review process for accuracy Process medical records release requests. Identify stock levels of office supplies and assist with ordering and inventory management. Maintain and update current information on physicians’ schedules, ensuring that patients are scheduled properly and appointments are confirmed. Answer telephone, screen calls, take messages, and provide information in a courteous manner. Schedule diagnostic testing and obtain insurance authorizations, verifications, and referrals in a timely fashion Utilize appropriate modules of the automated financial management system for scheduling, information verification, entering charges, co-payment collection/reconciliation, and other tasks. Schedule, coordinate, and reschedule patient appointments and relay necessary messages to staff and providers.

Required:

High school diploma or GED. Three years of work experience, preferably in a medical office setting. Word processing and computer experience.

Preferred:

Knowledge of medical terminology. Knowledge and/or experience using EPIC.
