FOOD SERVICES ASSISTANT / BOOKKEEPER NEW CANAAN PUBLIC SCHOOLS POSITION SUMMARY

The Food Services Assistant/Bookkeeper plays a key role in supporting the financial and operational success of the district’s food service program, which serves approximately 4,300 students and 700 staff. This position is responsible for maintaining accurate financial records and assisting in the daily operations of food service across multiple school sites. Primary responsibilities include, performing bookkeeping functions, processing payroll and bank deposits, managing invoices and financial reporting, overseeing school food service operations and ensuring food safety and compliance with district policies. The role also involves fostering positive employee relations, contributing to hands-on teamwork, supporting planning efforts, addressing concerns, and helping resolve operational issues promptly and professionally.

DUTIES AND RESPONSIBILITIES

Foster positive and professional working relationships with staff and administration by ensuring consistent, fair treatment of all employees and delivering excellent customer service. Manage procurement and accounts payable processes in compliance with district policies and procedures, and vendor relations. Oversee the Point of Sale (POS) system, including daily deposits, account reconciliations, issuing account status notices, handling collections, and frequent communication with parents. Verify time and attendance records for all Food Service staff to ensure accuracy and compliance. Support daily food service operations by collaborating with staff and administration across all school sites; maintain open and frequent communication. Operate standard office equipment and utilize job-related software applications effectively. Perform general administrative and general bookkeeping tasks as needed. Tasks, including electronic document management and answering phones. Assist with cafeteria duties as needed. Perform other duties as assigned.

QUALIFICATIONS

Education & Experience Minimum of a high school diploma required; an associate degree (two-year) in a related field is preferred. At least 5 years of experience in Food Services or the hospitality industry, including responsibilities related to bookkeeping, is preferred. Skills & Abilities Ability to read, write and interpret documents. Strong problem-solving skills with the ability to address practical problems. Ability to perform calculations based on formulas and other variables. Personal Attributes Highly reliable and committed to being a collaborative team player in a collegial setting. Capable of multi-tasking effectively in a fast-paced environment. Strong attention to detail and follow-through. Excellent organizational skills. Maintains a high level of professionalism and confidentiality, especially in handling information related to students and staff. Physical Requirements Must be able to stand, walk, bend, stoop, reach, and use hands to handle or feel objects, tools, or controls on a regular basis. Must be able to communicate clearly and effectively, and distinguish smells and tastes as part of food safety and quality control. Must be able to lift and/or move up to 50 pounds. May be required to push, pull, or maneuver carts and equipment. Work Environment Work is primarily performed in a school cafeteria and office setting. The environment may involve exposure to heat, cold, humidity, and varying kitchen conditions such as steam and odors. Noise levels can be moderate to high, especially during peak meal times. Must be able to work in a fast-paced setting.
