Essential Responsibilities:

The Assistant Director of Catering and Member Events supports the planning, coordination, and execution of private functions, club-wide member events, and internal programming. This position works closely with the Director of Catering and Member Events to ensure a seamless member experience and the successful delivery of events that contribute to member satisfaction and retention. The Assistant Director helps manage logistics, liaise with vendors, collaborate across departments, and maintain efficient communication and organization throughout all stages of event planning and execution.

Essential Responsibilities:

Assist in maintaining the Master Events Calendar and communicating changes or updates across departments and to management. Planning and execution Club Member events, special holiday events for Club Members, Club culture & social activities, Youth Members events and programs, Golf and Racquet sports events. Producing Profit & Loss (P&L) reports for each event Managing scheduling and payroll for all events department staff Coordinate details and logistics for member events including Golf, Racquets, Card Play, and other club programs in partnership with relevant departments. Serve as an initial point of contact for members booking private functions, guiding them through scheduling, planning, and decision-making. Assist with event setup, decor coordination, vendor management, rental logistics, and custom menu development. Distribute event details and updates to appropriate departments including Culinary, Purchasing, Food and Beverage, and Banquet Services. Aid in creating promotional materials and assisting with special publicity efforts for club events. Oversee accurate billing and documentation for private parties and internal events. Help monitor budgets and contribute to department forecasting as needed. Participate in event setup, execution, and breakdown to ensure quality control and guest satisfaction. Plan and occasionally lead guided group tours for members and prospective members. Support the Food and Beverage team during high-volume events. Attend and contribute to departmental meetings to ensure consistency and collaboration across the club. Work evenings, weekends, and holidays as required for event execution.

Knowledge and Skill Requirements:

Excellent interpersonal, organizational, and multitasking skills. Strong computer proficiency including Microsoft Office Suite and event management software. Ability to work in a fast-paced environment and manage multiple priorities simultaneously. Familiarity with catering sales, event planning, and country club or luxury hospitality operations preferred. Strong customer service and problem-solving skills.

Education & Work Experience Requirements:

3-5 years of relevant management experience in catering, event coordination, or hospitality, preferably in a club, resort, or hotel environment. Bachelor’s degree in Hospitality Management, Event Planning, or related field preferred; equivalent experience will be considered.

Physical Requirements:

Must be able to stand, walk, and move about for extended periods. Occasionally required to lift or move up to 50 pounds. Must have the ability to work in environments that may involve physical activity including setup and breakdown of events.
