Job Description Summary The Catering Administrative Assistant is responsible for assisting the Catering and Convention Services team with various administrative and clerical duties. This role is ideal for anyone who wants to learn more about Catering and become a Catering Sales Manager or Convention Services Manager, in the future.
Job Description Process catering files:
banquet event orders (BEOs), group contracts, and pm numbers. Handle general phone, email, and fax inquiries Follow up with clients regarding final guarantees, change,s and other catering details Process invoices, report,s and files Screen incoming phone calls, file and coordinate vendors for upcoming functions Create labels, pre-order menus, meal cards, menu cards, reader boards, and directional signs Coordinate group amenities Create/Build Inquiries in the system Assist in creating in-house event(s) BEOs Schedule meetings and confirm appointments for the catering staff Assist department managers in booking rooms for monthly department meetings and in-house functions Issue/compile daily change sheets for internal departments Email weekly report of all upcoming events: daily event sheets, parking reports, BEO distribution Compose and mail company brochures Field general catering questions Assist with incoming mail Assist with the check-log and check drops Attend all monthly department meetings Deliver Passionate & Engaging Service to our Guests You will be passionate and truly engaged in taking care of our guests, recognizing individual guests and anticipating their unique needs to exceed their expectations You will consistently deliver our GUEST model: Greet or welcome everyone warmly with a smile Use eye and ear contact and the guest’s name Establish/anticipate needs Solve and own all requests/complaints Thank everyone Build a solid relationship with your Colleagues Treat colleagues with respect and dignity Other duties and responsibilities may be assigned. The employee is expected to work in other areas of the hotel when needed to assist operations and perform job duties not necessarily contained in this job description.
