The Position :

Supervise and be a leader of the day-to-day activities of our growing practice Establish systems and protocol for a smooth-running operation Be a champion of our EMR and payment collections systems Guide patient calls to effectively book consultations, schedule appointments and procedures Greet patients with VIP hospitality when they arrive and throughout the entirety of their visit Contribute to our social media marketing strategy

The Right Fit:

A quick learner with problem-solving and critical thinking skills – someone who takes the initiative to figure out what needs to be done through creativity and flexibility Customer-service oriented with ability to quickly establish rapport with patients Obsessively motivated, reliable, and resourceful Has an aptitude for or ability to quickly master communication around aesthetic procedures Superior organizational skills, follow-through skills and attention to detail Able to anticipate needs and think ahead Excellent sales skills with the ability to upsell by adding value for patients

Must Have’s:

Excellent customer service skills with outstanding phone, written and verbal communication skill Positive and upbeat personality Professional and mature demeanor with presentable appearance Well-rounded and able to quickly learn practice operations, technology, social media and other applicable duties Ability to set the tone for the practice with optimal professionalism and grace

Responsibilities:

Greet clients with warmth, professionalism, and personalized care Manage all aspects of appointment scheduling, check-in/out, and follow-ups Confidently explain treatments, pricing, and financing options Act as a liaison between providers and clients—ensuring communication is clear and timely Maintain thorough knowledge of services and skincare products to answer questions and support sales Coordinate post-visit follow-ups and contribute to exceptional client retention Ensure the front desk and reception area reflects a calm, luxurious environment Handle payments and maintain accurate client records (Aesthetic Record experience a plus) Assist with retail displays and inventory management Support ongoing improvement of the client experience by sharing feedback and ideas with leadership
