Job Summary:

DX Global Marketing is seeking an experienced administrative professional for the role of Office Svcs Asst (CT). This is a seasonal, as-needed position based at 220 Celebration Place, requiring flexibility with scheduling to support operational needs, including front desk coverage during staff vacations and absences. The Office Services Assistant is responsible for providing exceptional guest service to all visitors and fellow Cast Members. This role involves assisting with mail and package processing, supporting Cast engagement events, and performing a variety of administrative duties to ensure smooth daily operations. In addition to service and administrative responsibilities, this role is safety-focused, helping to maintain a secure and welcoming environment by monitoring building access, managing visitor protocols, and supporting emergency procedures as needed. The ideal candidate is proactive, detail-oriented, and thrives in a dynamic, service, and safety-focused environment.

Responsibilities:
Guest Services & Front Desk Coverage:

Provide exceptional service to all Guests and Cast Members. Serve as a welcoming and professional first point of contact at the front desk. Support front desk coverage during staff vacations, absences, and peak periods. Maintain a clean, organized, and professional front desk and lobby area.

Mail and Package Processing:

Receive, scan, log, and track incoming packages and mail. Notify recipients of certified and registered mail. Respond to package-related inquiries and ensure timely delivery.

Administrative Support:

Monitor and manage building access and visitor control procedures. Track and log building visitors; issue and record visitor passes. Coordinate floral deliveries and vendor services. Handle phone calls and inquiries. Manage the shared Outlook Inbox and respond to internal communications. Assist with booking and maintaining meeting and conference spaces. Maintain cleanliness and stock levels in shared spaces such as conference rooms and kitchens. Manage lost and found items and maintain accurate records.

Safety & Security:

Support a safe and secure environment by following and enforcing building access protocols. Remain alert to safety concerns and report issues promptly. Assist with emergency procedures and communications as needed.

Cast Engagement & Events:

Assist with the coordination and execution of Cast engagement events. Distribute service awards, recognition gifts, and event materials.

Basic Qualifications:

1-3 years of office, administrative, or front desk experience. Flexible availability to support seasonal needs and vacation coverage. Strong written, verbal, and interpersonal communication skills. Proactive, service-oriented, and collaborative approach. Excellent organizational skills with the ability to multitask and meet deadlines. High attention to detail and ability to manage tasks independently. Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams). Experience handling confidential information with discretion. Meeting coordination experience. Ability to lift up to packages up to 50 lbs. Commitment to maintaining a safe and secure environment. Preferred Qualifications 4+ years of office, administrative, or equivalent experience. Proficiency with digital tools for tracking and logging packages. Experience with SAP, Workday, Concur, and Coupa; quick to learn new systems. Skilled in processing purchase orders, invoices, supply orders, and maintenance requests. Familiarity with Disney Experiences policies and procedures. Experience supporting executives at The Walt Disney Company or similar large organizations. Strong relationship-building skills with executives, peers, and cross-functional teams.

Required Education:

High School Degree or equivalent experience
