Job Description:
We are currently seeking a polished, experienced, and service-oriented Concierge to be the welcoming face and contact person of our office building in Boston. This individual will be instrumental in ensuring seamless communication both internally and externally while representing the MAX brand with professionalism and poise.
Key Responsibilities:
- Provide front desk and reception area coverage from 8:30 AM – 5:00 PM, Monday through Friday
- Greet clients and guests with a warm, professional demeanor—both in person and over the phone.
- Manage a busy multi-line phone system, routing calls promptly and accurately to the correct office staff and culinary personnel. Check voicemail and distribute messages.
- Maintains a daily call log.
- Maintain company email inbox and forward communications to appropriate individuals.
- Provide seamless support to our diverse client base and internal team.
- Maintain organization and cleanliness of guest-facing areas, including lobby and tasting room.
- Reports areas needing additional cleaning or maintenance to the appropriate personnel.
- Maintain company calendars, coordinate internal meetings and requests.
- Maintain office supplies and place monthly supply while tracking against supplies budget.
- Maintain uniform supplies and place orders as needed.
- Assist with IT needs as needed.
- Sort and distribute incoming mail and received packages.
- Update and distribute company phone directory.
- Support administrative tasks including data entry, filing, purchasing, and handling mail, etc.
- Receive and distribute incoming event inquiries and manage inquiry database.
- Distribute leads to the appropriate team(s) and ensure timely follow up.
- Track leads materialization and ensure follow up completed with client needs attained to.
- Assist with distribution of event and operational information to team.
- Communicate effectively with Sales Managers, Event Management Teams, and Clients to maintain existing relationships while helping to create and build new client relationships.
- Assemble marketing packets, client gift bags, and venue packets for sales team.
- Uphold confidentiality and discretion in all client and company matters.
- Perform adhoc tasks as requested by our leadership team.
Requirements & Qualifications:
- Front desk, receptionist, or administrative experience in a fast-paced, professional environment (hospitality or luxury services industry preferred).
- Bilingual fluency in English and Spanish preferred
- Must be legally authorized to work in the United States
- Must be 18 years old or order
- Must be able to pass a standard background check
- Impeccable customer service skills with a focus on hospitality, attentiveness, and professionalism.
- Strong interpersonal and communication skills, both verbal and written.
- Highly organized with the ability to multitask and prioritize effectively.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel) and comfortable learning new systems.
- Polished, professional appearance and demeanor.
Compensation & Schedule:
Starting Pay:
$25 per hour, based on experience. Must be able to work the following schedule: Monday through Friday from 8:30 AM to 5:00 PM, with a 30-minute lunch break
