SUMMARY:
The primary purpose of this position is to serve as a specialized customer service representative for guests of The Cottages at Pinehurst No. 8. All duties are to be performed in accordance with the direction and goals determined by the Front Office Management Team and Pinehurst Resort. EDUCATION and/or
EXPERIENCE
Associate’s degree and a minimum of one year related experience; or an equivalent combination of education and experience.
ESSENTIAL DUTIES AND RESPONSIBILITIES
This position involves driving a company vehicle and/or company insured vehicle. A valid driver’s license is required, along with successful completion of a pre-employment Motor Vehicle Report (MVR) and annual MVRs, according to company guidelines. Follow safe, defensive driving practices at all times, obey all traffic laws, regulations, signals and markings, use a seat belt, and follow Company policies and procedures, including the Substance Abuse Policy. Never drive while under the influence of drugs, alcohol or medications that may impair your ability to operate a vehicle safely, report any accidents immediately and cooperate fully with insurance claims investigations.
Assist guests in curating all aspects of their stay – beginning from the time of reservation, periodically throughout their visit, then “closing the loop” by acting as their point of contact for all post-stay communication.
Have knowledge of, promote, and explain resort packages and policies.
Coordinate warm welcome process for guests – including identifying and planning for their travel arrangements, coordinating additional bell services as needed, providing a personalized meet-and-greet, and orienting guests to their accommodations and property offerings.
Provide a fond farewell to all guests of The Cottages, including a bill review the morning of their departure and assistance with the exit process – luggage assistance, transportation, etc.
Perform technical procedures of completing the check-in and check-out process in company PMS, as well as display a high level of proficiency navigating all functions of the system.
Assist guests with on-property items such as golf clubs, umbrellas, BMW’s, personal items, etc.
Respond to all guest concerns immediately.
Review resumes and site visits for relevant information.
Review incoming arrivals and prepare for VIP & returning guests.
Create reports and templates for multiple departments to identify special guests and their needs.
Oversee daily, weekly and monthly room availability control; maintaining proper building and bedding assignments.
Obtain and schedule recreation activities and other recreation needs.
Order flowers, food and retail items coupled with welcome notes and other amenities for VIP and special guests.
Work with other departments to develop unique amenities and offerings for guests of The Cottages, to include creation and management of banquet events.
Schedule appointments, tee times, dining reservations, and airline arrangements for guests internally or externally.
Provide information to guests on resort amenities and surrounding areas of interest and offer maps and directions.
Maintain a courteous and professional attitude toward members, resort guests and employee partners.
Assist guests in sending and receiving packages or golf clubs, as well as pick up and deliver clubs, laundry, and other guest needs.
Generate two-way communication with guests, before, during and after their stay by phone, text, email and mail correspondence.
Responsible for being a team player within the Resort.
Attendance at all regularly scheduled meetings, committee functions and special event meetings as needed.
