POSITION RESPONSIBILITIES
- Provide and maintain the overall safety and wellbeing of all students, their families and program staff by following Site Specific safety plans/ OOS Conduct and Safety and HFM employee handbook and operations manual.
- Be a positive role model for all staff in the work place in displaying; respect to all children, staff and families, a commitment to HFM mission statement, and its policies for Continuous Quality Improvement, (CQI), measured by program’s growth plan, staff development and proper implementation of program deliveries in required activities and assessments for students’ advancement.
- Work in cooperation with Program Manager in the development of program scopes, activities, schedules and lesson plans.
- Attend Children’s Trust required trainings based on position. (Staff will be paid for training hours up to a total of 10 hours) Submit proof of training to main office for employee records. Maintain a copy for the site.
- Ensure that all staff attend required trainings for their position and implement the strategies learned through fidelity of the activity and the schedule. Send proof of training to Main Office and keep a record on site.
- Schedule appropriate staff coverage to maintain proper ratio at all times.
- Coordinate with HFM Administrative Office for approval of regular supply orders in order to coordinate with delivery coordinator.
- Welcome all approved volunteers by providing them with an HFM volunteer badge, instructions of sign in procedures, a safe place to keep their belongings, brief orientation to site facilities, staff and program activities.
SITE UTILIZATION & ENGAGEMENT RESPONSIBILITIES AND DATA
(COI) Recruitment of students for the program always maintaining a waiting list
- Plan and schedule parent engagement events with program coordinators 3 times per calendar year. Have parent sign in sheet for the activity and submit to main office.
- Schedule, implement and collect parent and student surveys (twice per year) submit to main office.
- Assign staff to enter student attendance records daily to the google doc system to share with data personnel and Program Coordinators.
- Supervise the pre, mid and post assessment testing required by Trust (ORF, iMaze, Social Skills and SPARKS)
- Assign or compile assessment test results and forward to HFM Administrative Office on time Benefits include 1.67 hours of PTO per month for a total of 20 hours per year (after 90 days of employment). - Ensure that students have match sets of pre-mid or posttest within the expected timelines.
- Schedule fire evacuation drills each month submit proof to the main office.
FINANCIAL RESPONSIBILITIES
Collect registration and monthly fees by following the Parent Payment Schedule calendar.
- Keep record of statements/receivables. Use forms provided by accounting, send to office.
- Make sure all fees are collected before next session of afterschool or Summer Camp starts and there are no pending balances for returning students.
- Timely submission of subcontractors’ invoices to Program Manager at the HFM main office to ensure for timely payments.
STUDENT FILES RESPONSIBILITIES
- Ensure all questions are completed in student application, include a picture of participate on the front page of the application and submit to main office. All records are kept in locked file.
- Obtain other pertinent documents related to participate and family’s situation. (IEP, Court papers, medical conditions, Plan or care, Custody papers, guardianship, etc.
- Safeguard the confidentiality of student or family information on file, especially medical conditions, family income and benefits eligibility, and student academic performance.
- Create emergency contact records of all students for assigned staff for the classroom, fieldtrips, and use for emergency and drills.
OFFICE ADMINISTRATIVE RESPONSIBILITIES
- Electronically submit staff timesheets and sign in sheets on Friday every 2 weeks. Keep at record on site.
- Responsible for snacks/suppers and Summer Food paperwork may delegate to approved trained staff.
- Create & post emergency evacuation maps and emergency listing of nearest fire, police, poison control.
SUPERVISORY ADMINISTRATIVE RESPONSIBILITIES
- Ensure through documentation that each child is signed into the program site daily and sign-out to authorize persons as documented in file.
- Provide staff with written assigned student’s list, including when going on fieldtrips.
- Ensure that staff wear the required identification staff shirts/ badges at all times during program hours (on-site and off-site field trips.)
- Staff must have a charged cell phone or program walkie-talkie on their person for immediate contact in case of emergency.
- Ensure that drinking water is available to the children at all times (especially during outdoor play and physical education activities) to protect against dehydration.
- Monitor the cleanliness of the bathroom facilities and re-stock the paper and cleaning products once per day (on four-hour program days) and twice per day on the longer 10

- In case of emergency, accident or injury, staff will consult the Student Emergency Contact file for information on allergies, medical and doctor information, parent notification and authorized student pick-up.
- Incident/injury reports will be filled out and signed by staff witnesses on the same day as an event occurs and submitted to HFM Administrative office by the end of the program day. Incidents requiring medical attention will be brought to the attention of HFM Administrative office by telephone immediately.
- Serve as liaison to school personnel where children attend (to maintain grade reports and monitor student progress)
- As assigned by the Site Supervisor, selected staff may open/close the program facility which would require an adjustment in work hours.
- Time off must be pre-approved by your supervisor in advance at least 2 days’ notice so arrangements can be made to cover the ratio.
EDUCATION REQUIREMENTS
College degree, or Child Development Associate credential (Administrator).
- Work towards 45 Hours DCF /Florida Child Care Professional Credentials
POSITION REQUIREMENTS
Prior experience in after-school program or as a Certified Teacher preferred but not required
- Available to work the required program hours
- Reliable personal transportation and personal cell phone
- Demonstrated experience working with children
- Positive response to criminal background check (fingerprint)
