Job Description

Office Manager/Asst. Event Coordinator Harrybrooke Park New Milford, CT 06776 Office Manager/Assistant Events Coordinator This employee assists with the coordination of projects and events across the organization, with a strong emphasis on supporting the planning and execution of events. The role contributes to program development and strategic planning in collaboration with the Executive Director and other staff. Additional responsibilities include assisting with fundraising efforts, volunteer recruitment and organization, and community outreach. The position requires the ability to work independently while also functioning as a key support to the Executive Director. This is a full-time position that requires flexibility to work weekends and/or early evenings as needed.

GENERAL RESPONSIBILITIES 1

Board Governance:

Works with board in order to fulfill the organization’s mission Administers actions that support and guide the organization’s mission as defined by the Board of Managers. Communicates effectively with the Executive Director and Board of Managers by providing timely and accurate information to support organizational decisions and performance. 2)

Financial Performance and Viability:

Develops resources sufficient to ensure the financial health of the organization Prepares and monitors the overall park budget, not limited to specific events. Provides timely financial reports and alerts to the Board of Managers to support informed oversight and ensure the organization’s financial health. Assists in fiscal management within the approved budget of any specific event. Ensures maximum resource utilization in a positive financial position. Manages vendor and service provider relationships to ensure timely invoicing and payments. Proficient use of the accounting software designated by the Board (currently QuickBooks and Gusto). 3)

Organization Mission and Strategy:

Works with the Executive Director to ensure that the mission is fulfilled through programs, strategic planning, and community outreach Enhances Harrybrooke’s public image by being active and visible in the community and collaborating with civic and private organizations. Provides museum tours and responds to public inquiries as part of community outreach and engagement. Assists in post-event evaluation and analysis to inform future planning. Participates in professional development activities including workshops and networking. Ensures all efforts are aligned with the intent of Mr. Harden’s Will and the Board of Managers. 4)

Organization Operations:

Oversees and implements appropriate resources to ensure efficient and effective operations Oversees and ensures event execution is fiscally responsible. Assists with recruiting and retention of competent, qualified volunteers. Maintains filing systems and contributes to the development and maintenance of internal procedures. Ensures data security, integrity, and confidentiality of organizational records. Analyzes and monitors internal office processes for efficiency improvements. Monitors and maintains office supply inventory to ensure operational readiness. Supports a clean, safe, and secure working environment for staff and visitors. Assists in developing task standards and delegating responsibilities as needed. Prepares to fulfill operational duties and responsibilities of the Executive Director, as needed.

PROFESSIONAL QUALIFICATIONS

Prior experience in event planning, including coordination of park events, weddings, cleanups, and facility rentals. Demonstrated integrity and a transparent, accountable work ethic. Strong organizational skills with effective written and verbal communication abilities. Ability to work independently and manage tasks with minimal supervision. Practical experience in budget management, including preparation, analysis, and reporting. Proven ability to plan, delegate, and contribute to program and task development. Effective interpersonal skills with the ability to engage and collaborate with volunteers, staff, and community members. Experience coordinating with and supporting staff and vendors to ensure successful operations. Public speaking skills and prior nonprofit experience are highly valued. Familiarity with fundraising practices and donor relations within the nonprofit sector is preferred.

ACTUAL JOB RESPONSIBILITIES

Assist with the planning and execution of individual events and park-wide functions, including museum, pavilion, weddings, and off-site rentals, including event sponsorships. Lead initial correspondence and follow-up communication with all guests to ensure excellent service experience. Assist with marketing and managing digital calendars, social media platforms and email marketing, including press releases. Serve as associate spokesperson to the public, media, and park constituents. Maintain open communication with staff and volunteers; coordinate with the Garden Club. Establish and maintain relationships with community organizations to support the mission. Supervise and collaborate with the organization’s volunteers for events (pre- and post-), as needed. Maintain fiduciary responsibilities including paying bills, processing payroll, and maintaining the ledger. Learn the history of the Hardens, the grounds, and the museum to provide tours and answer public questions. Assist with ensuring a neat and clean workplace, including the museum. Shop for supplies as needed for events and occasions. Assist the Executive Director in writing and preparing grant proposals. Assist with website content updates and general maintenance.
