Job summary:
The Event Coordinator will plan, execute, and optimize a wide range of events including trade shows, conferences, in-person gatherings, networking sessions, educational panels, and partner-focused events.
Key Responsibilities:
1. Tradeshow and Conference Coordination Develop and maintain a strategic annual events calendar aligned with marketing and business goals. Research and evaluate past and potential industry events, identify sponsorship opportunities, and recommend profitable participation. Communicate and negotiate with event organizers and associations for sponsorships, speaking panels, and promotional opportunities. Prepare and present comprehensive event strategies and budgets for executive approval. Coordinate event registration, travel, accommodations, booth logistics, and promotional materials. Create event projects and task workflows. 2. Event Management Execute custom events including educational sessions, networking, and award ceremonies. Manage vendor relations (venues, caterers, entertainment, AV, etc.), contracts, and payments. Oversee development of invitations, agendas, marketing collateral, and signage. Ensure seamless onsite event execution and coordination with internal teams and vendors. Conduct post-event follow-ups, surveys, and reporting to assess ROI and improvement areas. 3. Marketing and Promotion Collaborate with internal teams to create promotional materials, email invitations, social media posts, and dedicated event web pages. Plan and execute follow-up campaigns using event data, photos, and attendee lists. 4. Speaking Engagements Coordinate speaking opportunities for company representatives including topic proposals, presentation materials, and logistics. Identify new panel and speaker opportunities that align with brand goals. 5. Materials & Logistics Maintain and update event materials, banners, booths, and promotional items. Source new merchandising items based on competitor research and representative feedback. Bachelor’s degree in marketing, communications, hospitality, or a related field. 2 years or more of experience in coordinating B2B or industry-specific events. Strong organizational skills with ability to manage multiple projects simultaneously. Excellent written and verbal communication skills. Comfortable negotiating with vendors and managing budgets. Proficiency in project management tools and Microsoft Office Suite. Creative thinker with attention to details and ability to deliver under deadlines. Willingness to occasionally work evenings when required for events; this is not a regular or ongoing part of the schedule.
Preferred Skills:
Experience working in the mortgage, real estate, or financial services industries. Understanding of event ROI metrics and partner engagement strategies.
