About the Job The primary responsibility of the Event Marketing Specialist is to manage and execute all aspects of tradeshows, career fairs, sponsored events, and philanthropic initiatives, both domestically and internationally. This role requires a detail-oriented professional who can manage the entire lifecycle of an event—from registration and logistics to travel coordination and post-event analysis. What You’ll Do Tradeshow & Event Management o Oversee the planning, registration, and execution of tradeshows, career fairs, and sponsored events that MedPro participates in. o Procure all promotional materials. o Coordinate with vendors and manage all event logistics, including booth setup, signage, promotional materials, and audiovisual needs. o Manage event timelines, ensure compliance with budgets, and track ROI post-event. International Event & Career Fair Marketing o Develop and execute marketing strategies for international events and career fairs, ensuring brand consistency across all touchpoints. o Collaborate with the Marketing team to create targeted campaigns, promotional materials, and social media content to maximize event engagement. Logistics & Travel Coordination o Manage all travel and accommodation arrangements for event attendees, including flights, hotels, ground transportation, and itineraries. o Ensure seamless travel experiences for staff and attendees while adhering to company policies and budget guidelines. Vendor & Stakeholder Collaboration o Identify and negotiate with vendors, venues, and other event partners to ensure successful event execution. o Coordinate with internal departments and external stakeholders to ensure all event needs are met. Post-Event Evaluation o Conduct post-event evaluations to assess ROI, gather feedback, and identify areas for improvement. o Maintain detailed records of event activities, budgets, and outcomes for future reference. Other Duties as Required Required Qualifications Bachelor’s degree preferred. Previous tradeshow and event management experience is a plus. Strong organizational skills with the ability to manage multiple events simultaneously. Excellent verbal and written communication skills. Ability to collaborate effectively with vendors, internal teams, and external partners. Proficiency in coordinating travel, lodging, and logistical details. Strong problem-solving skills and the ability to work under pressure while maintaining attention to detail.
