We are seeking an experienced Group Charter Coordinator to join our team and play a role in organizing and managing large group charters and events. The ideal candidate will have background in the travel industry (preferably experience in the cruise industry). You will be responsible for coordinating all aspects of group charters, including developing large group itineraries, managing logistics, and working closely with clients and suppliers to ensure the success of each event. Your attention to detail and exceptional organizational skills will be critical in delivering seamless and memorable experiences.
Key Responsibilities:
Group Charter Coordination:
Develop, manage, and execute group charter programs, from initial planning to final execution. Coordinate all logistics, including transportation, accommodations, dining, and onboard activities. Work with clients to understand their specific needs, preferences, and goals for group events. Ensure smooth communication between internal teams, clients, and third-party vendors.
Event Planning & Execution:
Plan and oversee the successful execution of large-scale events for groups, including meetings, conferences, incentive trips, and special events. Develop event timelines, agendas, and detailed itineraries to ensure all activities are scheduled and executed flawlessly. Coordinate event staff and support teams to ensure seamless service delivery.
Client Relationship Management:
Build and maintain strong relationships with clients, ensuring satisfaction and repeat business. Provide exceptional customer service by being responsive to client inquiries and addressing any concerns during the planning process. Offer creative suggestions and tailored solutions to meet client needs and preferences.
Budget Management:
Prepare and manage budgets for group charters and events, ensuring cost-effective solutions without compromising quality. Negotiate rates with suppliers, vendors, and cruise lines to secure the best value for clients. Track expenses and stay within allocated budgets.
Sales & Marketing Support:
Support the sales team in promoting group charter services and generating new business. Assist in the creation of marketing materials and presentations for potential clients. Represent the company at trade shows, networking events, and other promotional opportunities.
Post-Event Evaluation:
Conduct post-event evaluations to assess client satisfaction and gather feedback for continuous improvement. Provide detailed reports on event success, client feedback, and areas for future growth.
Qualifications:
Education:
Bachelor’s degree in Hospitality, Event Management, Travel & Tourism, or a related field (preferred). Relevant certifications in event planning or group travel management (preferred).
Experience:
At least 2 years of experience in group travel coordination, event planning, or a related role. Prior experience working in the travel industry, with a preference for experience in the cruise industry. Proven track record in developing groups, organizing events, and managing logistics.
Skills & Abilities:
Strong organizational and project management skills, with the ability to handle multiple tasks and tight deadlines. Excellent communication skills, both written and verbal, with the ability to interact professionally with clients and vendors. Strong negotiation skills and experience managing budgets. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and event management software preferred (e.g., Cvent, Eventbrite). A creative problem-solver who can think on their feet and adapt to changing situations. Attention to detail and a customer-centric mindset.
