Full Job Description Job Summary:

GalaxyCon is a festival of fandom that celebrates comic books, pop culture, sci-fi, fantasy, anime, gaming, cosplay, and more. GalaxyCon is more than a comic-con, it’s a galaxy of fun! We are seeking a highly organized and proactive Live Events Manager to oversee the operational logistics of our live events from pre-production through post-event teardown. This pivotal role serves as the primary liaison between GalaxyCon’s internal departments and partner convention centers, ensuring the flawless execution of all operational aspects that contribute to delivering a world-class event experience.

Key Responsibilities:

Act as the primary point of contact with venues for all operational needs, including layouts, equipment rentals, utilities, internet services, catering, security, EMT, and staffing coordination. Create and manage comprehensive site plans, including floor plans, utility orders, catering orders, safety/security staffing schedules, and access control measures that align with event goals and brand standards. Collaborate with internal departments to gather operational needs and translate them into actionable plans for venues and vendors. Oversee on-site setup, live event execution, and teardown, serving as the go-to liaison with venue management and vendors to quickly resolve operational issues. Contribute to the budgeting process by forecasting operational expenses and identifying cost-saving opportunities without compromising event quality. Support and refine inventory management processes, ensuring accuracy and accountability for warehouse, transportation, and on-site equipment and supply usage. Conduct post-event evaluations to gather feedback, assess performance metrics, and recommend operational improvements for future events. Ensure all operations comply with safety regulations, accessibility standards, insurance requirements, and venue policies. Perform other related duties as assigned to support the overall success of the events. Other job duties as assigned

Qualifications:

Bachelor’s degree in Event Management, Hospitality, Business, or a related field preferred. 3-5 years of experience in live event operations, convention management, or related fields. Proficient with event management software, CAD/event layout tools, and Microsoft Office Suite (Excel, Word, Outlook). Strong understanding of event logistics, venue relations, and vendor coordination. Proven track record of planning and executing successful live events, from small to large scale. Strong written and verbal communication skills Excellent organizational and project management abilities A passion for comic books, pop culture, sci-fi, fantasy, anime, gaming, cosplay, and more A willingness and ability to travel to GalaxyCon events, which may require working on weekends and holidays We offer a competitive salary, comprehensive benefits package, and opportunities for growth and advancement within the company.
