The University of Tampa is seeking a dynamic and detail-oriented Assistant Director of Admissions Event Coordinator to plan, organize, and execute a wide variety of on-campus and off-campus events aimed at attracting prospective students. This position will report to the Director of Admissions. In addition, the Admissions Event Coordinator will oversee the scheduling of daily campus visits, ensuring all logistics run smoothly to provide a positive, engaging experience for prospective students and their families. This role will involve working closely with admissions counselors, student workers, campus partners and external vendors to create memorable, high-quality events that help drive enrollment at UTampa.
Key Responsibilities:
Event Planning & Execution:
Oversee the planning, implementation, and follow-up of various admissions events. Responsibilities include managing logistics, coordinating invitations, assisting with creation of marketing materials, updating web content, tracking RSVPs, managing registration and seating charts, and liaising with vendors for contracts and event-related services.
Daily Visit & Tour Scheduling:
Manage the scheduling of daily campus visits and tours. This includes booking event spaces, coordinating with catering services, and ensuring all aspects of the visit run seamlessly, especially during peak periods.
Collaboration & Communication:
Work closely with Admissions Counselors, campus departments, and external vendors to deliver exceptional guest experiences. Foster relationships with internal stakeholders to ensure alignment of event goals and objectives.
Event Logistics Management:
Coordinate the setup and breakdown of events, ensuring all materials, equipment, and arrangements are in place for each event.
Continuous Improvement:
Identify opportunities for enhancing event experiences and contribute to the development of strategies that improve student engagement and event outcomes. Contribute to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures and backgrounds.
Qualifications:
Minimum Education & Experience:
Bachelor’s degree in Communications, Business Administration, Public Administration, Project Management, Hospitality, or a related field. A minimum of 2 years of experience in planning and executing special events, preferably in higher education or a corporate environment. Knowledge of or the ability to learn quickly The University of Tampa software programs such as Workday, SLATE and Microsoft Office. Willingness to embrace new technologies and innovative organizational practices.

The importance of special events in higher education admissions, and how they influence prospective student decisions. Project management and event management best practices, including managing logistics and timelines for complex events.
