JOB SUMMARY

This role is responsible for working with sales and marketing leadership, travel agents, shore-side venues, ship staff, and other internal departments to ensure the proper planning and execution of sales-sponsored consumer events, trade events, national account conferences, and other special events. The Senior Events Specialist will also support marketing partnerships, acting as a liaison between the marketing and sales departments to coordinate respective responsibilities. Additionally, this role is responsible for entering and managing all associated expenses in Salesforce and monitoring expenditures against budget.

DUTIES & RESPONSIBILITIES

Develop and execute comprehensive event plans, including timelines, logistics, and budgets, to ensure seamless delivery of ship events, hosted sailings, and trade shows.
Collaborate with internal departments and external vendors to coordinate event logistics, negotiate contracts, and manage vendor relationships for quality service delivery.
Manage all aspects of event registration, guest lists, invitations, and RSVP tracking, ensuring personalized and efficient guest experiences.
Plan and oversee shipboard events, working closely with onboard staff to promote the Oceania Cruises experience and facilitate guest engagement.
Organize and coordinate hosted sailings and VIP events, designing engaging onboard programming, activities, and gifting to enhance guest satisfaction.
Design and implement exclusive top-advisor events, recognizing high performers with tailored activities and personalized experiences.
Lead trade show planning, including booth design, staffing, promotional materials, and lead capture initiatives, to maximize brand exposure and generate sales leads.
Monitor and control event budgets, track expenses, and prepare financial reports to ensure cost-effective event execution aligned with financial guidelines.
Conduct post-event evaluations and reporting, analyzing attendee feedback and outcomes to inform future event strategies and improvements.
Perform other job-related functions as assigned.

QUALIFICATIONS DEGREE TYPE

Bachelor’s Degree FIELD(S)

OF STUDY

Business, Hospitality Management, or a related field.

EXPERIENCE

Minimum 2 years of experience in event planning, with a focus on the cruise or hospitality industry preferred.

COMPETENCIES/SKILLS

Proven experience in planning and executing a variety of event types
Strong organizational, time-management, and project management skills.
Excellent communication, interpersonal, and negotiation skills.
Ability to travel as needed for events.
Creative and innovative thinker.
