Responsibilities:

Advancement Team point of contact: help the Senior Director of Advancement with events communications, internally and externally. Serve as the default point of contact for the Advancement Team and donors. Serve as the primary point of contact for Pioneers staff and the Advancement Team. Manage calls and messages for the Senior Director and MGO’s. Manage incoming mail for the Senior Director and prepare communications/deliveries of all sorts. Take, maintain, and file meeting notes and recordings as needed, making them available for the team to review. Reference, update, and extract donor information using the donor database/CRM system. Assist with documentation(filing, copying, scanning, etc.) Maintain the primary calendar for the Advancement Team and the Senior Director, scheduling meetings and events around work schedules, arranging catering, and other items as needed Assist the Senior Director with making travel arrangements, maintaining itineraries, and preparing materials needed for trips. Maintain the Advancement Team’s inventory of stationery materials, donor gifts, etc. Assist in the management of volunteers and any temporary staff as needed. Oversee other special projects as requested. Back end support for Advancement activities and events: oversee see event details (e.g., President’s Briefing, golf tournaments), manage Planned Giving communication/activities, assist with fulfillment of in-house mailings, use the database, maintain files and office supplies, and prepare payment requests. provide administrative support for travel planning, event planning, expense reports, and special projects as assigned.
