Description Manager of Event Planning and Strategy Loc:

Orlando / onsite / 40hrs a week Contract through November We are more than healthcare. General Summary The Manager of Event Planning and Strategy is responsible for the coordination of business events. This includes, but is not limited to: + Event experiential creation + Agenda development and recommendations + Preparation and facilitation of intention meetings with stakeholders + Event program development in partnership with the audio-visual team + Speaker database and recommendations based on event intention and scope + Preparation and proofing of written/graphic materials + Show-flow development + Pre-production meetings + Vendor/site research + Contract negotiation + Expense management + Food and beverage selection + Audio-visual management + Budget reconciliation + Event analysis and statistics, including attendee engagement Key competencies for this role include: +

Exceptional skills in navigating high-stakes situations, making critical decisions that benefit both the project and relationships. This individual stays current on event industry trends, market climates, and competitive activities and recommends ways, among colleagues, to leverage opportunities. They demonstrate working knowledge of business and work closely with the event owner/sponsor of the project to develop the event profile (goal, responsibilities, budgets, timelines, etc.), scheduling the date of the event, securing venues, negotiating contracts, planning and coordinating the event, and frequently providing on-site management of the event. The Event Planning and Strategy Manager cultivates collaborative relationships with internal and external resources to support activities. Requirements Principal Duties and Job Responsibilities + Demonstrates through behavior AdventHealth’s core values of Quality and Service Excellence, Community Well-being, High Ethical Standards, Stewardship, and Inclusiveness. + Builds and fosters relationships to identify needs and ensure satisfaction through post-event surveys. + Sources and manages hotels and venues for international guests, staff, VIPs, and attendees, then negotiates rates and contracts, as well as airfare, ground transportation, local staffing, and local vendors. + Books and coordinates arrivals and departures, meeting spaces with AV and F& B requirements, and social activities, including dinners and special events. + Procures and organizes all vouchers, tickets, credentials, and itineraries for confirmed services. + Develops measurement framework, as well as tracks and reports on KPIs for each event. + Proposes new ideas to improve the event planning and implementation process. + Negotiates with vendors to achieve the most favorable terms for goods and services. + Co-manages vendor relationships (agencies, vendors, caterers, etc.). + Requires three vendor quotes prior to selection. + Manages and updates preferred vendor list for respective division. + Subject matter expert on new event industry-related trends. + Provides Event Director with solutions to issues that arise in real-time. + Expert in cross-function of internal partners to leverage efficiency in event planning needs. + Subject matter expert on using CVENT technologies (or other relatable technology) for event registration. Knowledge and Skills Required + Excellent communication skills (verbal and written). + Flexibility and adaptability to change. + Strong attention to detail. + Highly organized with project-management experience. + Understanding of digital media trends and technology tools. + Ability to work well within a team that is cross-functional and located in different offices. + Proficient in the Microsoft suite of software (Word, Excel, and PowerPoint). + Experience working with hotel management, catering services, and vendors. + Experience managing all aspects of larger meetings, events, and conferences. + Experience with negotiating hotel/venue and vendor contracts. + Ability to interface with senior executives and VIPs. + Ability to work independently without supervision, be self-directed, and demonstrate initiative. + Ability to be creative and innovative. Knowledge and Skills Preferred + Flexible schedule and some travel required during certain time periods. + Ability to work collaboratively with others. + Strong teamwork skills required. + Excellent ability to establish rapport with others and ability to build strong interpersonal relationships. + Great service with positive energy. + Exhibits good judgment and decision-making skills. Education and Experience Required + BS or BA in Marketing, Communication, Business and/or related field AND minimum of five years of experience.
