WORK OBJECTIVE

Under general supervision, the Event Planner is responsible for coordinating, implementing, and evaluating large-scale, Town-sponsored events and festivals that create enjoyable, inclusive experiences for Oakland residents and visitors. The role also includes developing and maintaining sponsorship relationships to support event programming and ensure financial sustainability.

ESSENTIAL RESPONSIBILITIES

The following responsibilities and duties have been provided as examples of essential types of work performed by positions within this job classification. Management reserves the right to add, modify, change, or rescind work assignments as needed. Submits for approval all planned events and programs, and venue selections including budgeted spending limits. Oversee all logistics related to assigned events, including supervision of vendors, contractors and other departments as it relates to specific programs and activities. Prepare all records, including use agreements (contracts) and vendor forms. Composes correspondence, including information for residents and vendors. Initiates and reviews approved contracts for event services. Coordinates and arranges appropriate facilities, labor, equipment and material in the set up and break down of event logistics. Obtains financial sponsorship for events by soliciting vendors and corporate underwriting and inkind donations. Maintains each event budget, prepares and provides reports. Partners with Creative Content Coordinator to create and design marketing materials, press releases, and event communications. Promotes and markets each assigned event to ensure distribution reaches entire community and beyond, on an individual basis and/or in collaboration with other Town departments. Performs other related duties as assigned.

Ability to read and comprehend simple instructions, short correspondence, and memos; ability to write simple correspondence; ability to effectively present information in one-on-one and small-group situations to community groups, clients, and other Town employees; required to be sufficiently proficient in English to be able to communicate effectively.

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

REASONING ABILITIES

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form; ability to deal with problems involving several concrete variables in standardized situations.

COMPUTER SKILLS & ABILITIES

To perform this job successfully, an individual should have knowledge of database software; internet software; spreadsheet software and word processing software.

PHYSICAL REQUIREMENTS

Requires sedentary work involving standing or walking for long periods, sitting for long periods, exerting up to 10 pounds of force on a regular basis, and moderate dexterity in operating office equipment. Occasionally you may need to lift up to 25 pounds. The position requires normal visual acuity and field of vision, hearing and speaking abilities.
