JOB SUMMARY
The Events Coordinator is responsible for the management of Events in accordance with Club standards. Directs, implements, and coordinates details for private member functions and maintains budgeted revenues through solicitation of business while controlling expenditures. Supports and activate extensive member program of events and communicates to internal stake holders for successful delivery.
ESSENTIAL JOB FUNCTIONS
Maintain complete knowledge of and comply with all club/departmental policies and procedures, ensuring that Event staff is informed as well. Coordinate daily with Events staff to review status of business, schedules, priority assignments, bookings, and all information pertinent to the department operation. Ensure event orders include all essential information and are distributed in the directed timeframe. Ensure Private Member Events and Member Events files are kept organized and current with all required information. Monitor and handle inquiry calls and clerical work on a timely basis. Coordinate schedule with Event Manager and prospective Member event enquiry. Attend all meetings virtually and in person where required / and with clients to outline the details of their functions with call to action points and communicate with internal stakeholders. Escort clients through the property and highlight features of facility as well as available services. Coordinate with the Chef to plan special requests for members/clients and special event menus. Arrange tasting with Chef’s schedule between the client/member. Ensure that all definite functions are detailed accurately on Event Orders, signed by clients, and distributed to designated departments on a timely basis. Resolve any discrepancies with respective internal team. Monitor the preparation and distribution of the BEO. Ensure that all information is complete and accurate and distributed on a timely basis. Monitor changes to Event Orders. Ensure that accurate information is communicated to respective departments on a timely basis to best service the client/member. Monitor the preparation and distribution of the BEO. Resolve any incomplete information or problems with respective team prior to the distribution of the sheet. Prepare and distribute the monthly Private Member Events forecast identifying covers and sales by meal period. Prepare and distribute amenity request forms for specified clients/members. Ensure that any deficiencies are corrected by the appropriate staff. Meet with the onsite Heads of Department in a set weekly meeting to run through the week ahead BEO’s, Creatives and Floor Plans with guest flow to verify arrangements. Distribute all information electronically as a bundle following the Event Ops Meeting. Welcome the member and their guest upon Member Event arrival to ensure guest satisfaction. Assist in supervising the service where required of functions, ensuring member satisfaction. Monitor all billing/payment procedures according to Accounting standards. Monitor guest reactions and confer with service staff to ensure member satisfaction. Prepare and distribute the monthly booking report according to procedures. Compare actual to forecast. Prepare and distribute an annual Events marketing plan in accordance with club specifications.
ESSENTIAL REQUIREMENTS & COMPETENCIES
Ability to prioritize, organize and follow up with members if needed. Ability to maintain confidentiality of pertinent club data. Ability to provide clear and pleasant telephone communication. Ability to perform job functions with minimal supervision. Ability to work cohesively with other departments and coworkers as part of a team. Associates’ Degree or equivalent experience Experience working with mood boards and delivering presentations. Preferred local relationships with vendors. Proven experience working with tight deadlines and timelines. Three years proven experience in a similar role conducting small to medium events. Must have computer skills, including use of Microsoft Office programs and related systems. Northstar and InDesign preferred. Ability to communicate in English with club members and colleagues. Ability to provide legible communication. Able to lift and carry containers and equipment weighing 50 lbs.
