Events Manager 4.0 4.0 out of 5 stars Sarasota, FL 34232 Job Summary The Events Manager at Marie Selby Botanical Gardens plays a pivotal role in the successful planning, coordination, and execution of community and philanthropic events, as well as meetings and private events. The Events Manager supports the Associate Vice President of Event Operations with all aspects of event operations including organizing event logistics, cultivating vendor relationships, and budget management. Your role is crucial in ensuring that each event aligns with organizational goals and enhances the community’s engagement with Selby Gardens. Essential duties and responsibilities Responsibilities include, but are not limited to the following: Assist in the planning and execution of community and philanthropic events, as well as meetings and private events. Ensure each event meets organizational standards and client expectations Work closely with the Associate Vice President for Event Operations to prepare detailed event notes Manage the organization’s event calendar, collaborating with all departments to ensure all events and programming is scheduled effectively Assist with collecting, reviewing, and tracking invoices and expenses for all events Research, propose, and secure vendors for events, create and track vendor agreements, ensure timely payment of vendor fees and communicate load-in and load-out instructions to all vendors prior to events Oversee reservations, check-in procedures, and daily attendance updates for community events (and philanthropic events, as needed) Monitor the events email inbox and phone lines, promptly addressing guest inquiries. Identify volunteer needs for events and collaborate with volunteer coordinators to schedule adequate support for event operations Collaborate with the Marketing department to accurately advertise event information across Selby Gardens’ website, digital platforms, and printed materials Support the Associate Vice President for Event Operations and the Marketing department on the creation of branded event materials such as event maps, vouchers, and signage Other duties as assigned Education and experience
- Bachelor’s degree preferred.
- 3+ years’ experience in planning and executing high-profile events Qualifications
- Flexibility to work a schedule that includes weekends, holidays, and evenings
- Ability to remain calm under pressure to solve any situation in a timely manner
- Demonstrated experience working in a fast-paced environment
- Commitment to the highest standards of service to internal staff and external clients
- Ability to recognize confidential information and handle appropriately
- Detail-oriented
- A team player who can successfully and cheerfully manage a wide variety of on-going projects.
- Ability to provide prompt, accurate responses to inquiries

- Expert in the use of software programs including Microsoft Office and G Suite
