Venue Operations Lead TES Event Services 4251 Ondich Road, Apopka, FL 32712 About Us Traditions Event Services is a rapidly growing wedding venue management company currently operating 8 premier wedding venues within the Greater Orlando area with ambitious plans to expand to 50 venues within the next three years. We’re seeking a detail-oriented and client-focused On-Site Venue Operations Coordinator to ensure exceptional event execution and venue management. This position has an anticipated start date of September 1, 2025, which will allow for training and shadowing with the Business Operations Manager as the wedding season ramps up. Position Overview The On-Site Venue Operations Coordinator is an entry-level management position responsible for day-to-day venue operations, on-site supervision of venue event staff, event execution, and maintaining venue standards.

This role has dual responsibilities:

sometimes directly executing events as the on-site staff member, and other times traveling between venues to check in, supervise staff, and ensure everything is running properly. The position ensures that every event runs smoothly while providing outstanding client service and supporting the venue team. This role requires organizational skills, attention to detail, and the ability to solve problems quickly in a fast-paced environment. This role reports to the Business Operations Manager and requires weekend availability for event oversight. Key Responsibilities Event Execution & Management

  • Oversee event preparations to ensure all logistics are properly arranged
  • Serve as the primary point of contact during events for issues or requests
  • Sometimes directly execute events as the on-site staff member
  • Regularly travel between venues on event days to check in, supervise, and ensure proper execution
  • Coordinate between venue staff and bartending staff during events
  • Work with vendors, clients, and staff during event setup and execution
  • Ensure venues are properly prepared according to client specifications
  • Perform venue walkthroughs before and after events to maintain quality control
  • Respond promptly to any issues that arise during events
  • Follow established protocols for event management and venue operations
  • Create contingency plans for common event scenarios and challenges Staff Management & Supervision
  • Provide on-site supervision and guidance to venue event staff during events
  • Conduct on-site training and shadowing opportunities for new venue staff
  • Support the Business Operations Manager with staff scheduling needs as required
  • Provide leadership and direction to event staff during setup, execution, and breakdown
  • Conduct pre-event briefings with staff to review event details and expectations
  • Provide feedback to the Business Operations Manager regarding staff performance
  • Ensure staff adhere to company standards, protocols, and appearance requirements
  • Maintain open communication with venue staff to address immediate needs during events
  • Support the venue staff in delivering high-quality service to clients and guests Inventory Management
  • Take ownership of venue supply inventory management across all locations
  • Maintain proper stock levels of essential supplies at all venues
  • Conduct regular inventory checks and place orders for restocking
  • Ensure venues are properly stocked with cleaning supplies, restroom essentials, and other necessary items
  • Manage the purchasing process for operational supplies within approved budget guidelines
  • Maintain organized storage areas for supplies and equipment
  • Track inventory usage patterns to improve forecasting and reduce waste
  • Report inventory status regularly to the Business Operations Manager Client Relations
  • Act as a professional representative of the company during events
  • Conduct venue tours when necessary to support the sales team
  • Address client questions and concerns promptly and professionally
  • Gather client feedback after events to ensure satisfaction
  • Maintain relationships with partners and key vendors
  • Communicate special requests or accommodations to appropriate team members Venue Maintenance & Presentation
  • Ensure venues are maintained to company standards at all times
  • Identify and report facility issues or maintenance needs
  • Coordinate with maintenance staff or vendors for repairs as needed
  • Ensure venues are aesthetically presented for events and tours
  • Maintain cleanliness standards throughout the venue Documentation & Reporting
  • Complete detailed end-of-shift reports documenting event details, issues, and inventory needs
  • Ensure accountability through proper documentation of event execution
  • Update Planning Pod with staff schedules, event details, and other relevant information
  • Document client feedback and vendor performance
  • Maintain accurate records of venue usage and condition
  • Provide regular reports to the Business Operations Manager on venue operations
  • Submit staff hours and scheduling information for payroll processing
  • Track and document any maintenance or repair needs at venues A Typical Weekend On a typical weekend, the On-Site Venue Operations Coordinator might:
  • Directly execute an event at one venue on Friday evening as the sole venue staff member
  • Visit 2-3 venues on Saturday to check in, troubleshoot issues, and ensure venue staff are performing properly
  • Directly execute a Sunday morning event and then travel to check on another afternoon event
  • Ensure all venues are properly closed, cleaned, and prepared for upcoming events
  • Review and submit all end-of-shift reports from the weekend’s events This role requires excellent time management, flexibility, and the ability to both execute events directly and oversee others from a management perspective. Qualifications Required Skills & Experience
  • 0-1 years of experience in event coordination, venue management, or related field
  • Strong customer service skills with the ability to represent the company professionally
  • Detail-oriented with basic organizational abilities
  • Problem-solving skills and ability to make decisions under guidance
  • Availability to work weekends and some evenings
  • Reliable transportation to travel between venues
  • Ability to work on your feet for extended periods during events
