THE ROLE
The Events and Groups Coordinator will support the planning, coordination, and execution of group visits and special events at Illuminarium Atlanta . This role works closely with the Events and Groups Manager, assisting with both administrative and on-site tasks to ensure smooth, successful, and memorable experiences for all guests. The ideal candidate is organized, solutions-driven, and thrives in a fast-paced, high-energy environment.
ESSENTIAL FUNCTIONS
Provide administrative support for the events department, including calendar management, resource booking, and logistical coordination. Assist with event pre-planning tasks, such as preparing documentation, communicating with clients, conducting site visits, coordinating vendors, and managing event checklists. Serve as a client-facing point of contact during on-site events, ensuring all needs are anticipated and met. Coordinate event setup and takedown, including managing vendors, equipment, and logistics. Collaborate cross-functionally with operations, AV, marketing, and retail teams to execute events smoothly. Help curate and maintain prospecting lists and sales tracking for event leads. Maintain clean, organized storage areas and accurately track inventory of event supplies. Document event outcomes, guest feedback, and important notes for future planning. Assist in post-event wrap-up, including invoicing, reporting, and client follow-up. Support the coordination of group bookings, including scheduling and addressing special requests.
PHYSICAL DEMANDS
(with or without accommodations) Standing, walking, bending, and being on feet for extended periods. Regular use of computers, tablets, and smartphones. Ability to lift/push/pull 10-20 lbs regularly and occasionally up to 50 lbs with assistance. Occasional overhead lifting of up to 30 lbs.
WORK ENVIRONMENT
Occasional outdoor work may be required. May be exposed to sensory effects during shifts or events (e.g., flashing lights, loud audio, fog/smoke effects, scent effects, and vibrations).
QUALIFICATIONS
Minimum 1 year of experience in event coordination, hospitality, or an administrative support role. Strong organizational and multitasking skills with great attention to detail. Excellent verbal and written communication skills. Flexible availability, including evenings, weekends, and holidays as needed. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Ability to work under pressure and manage multiple priorities. Positive, solution-oriented mindset and strong interpersonal skills. Ability to lead by example and work with a variety of personalities. Comfortable working both independently and collaboratively.
PREFERRED QUALIFICATIONS
Experience in venue-based or attraction-style environments. Degree or diploma in Hospitality, Events, or related field. Familiarity with event management or CRM platforms such as Tripleseat or Social Tables.
