Position Overview:

The Events Coordinator plays a vital support role in the planning and execution of events across all Change Church campuses. This role assists with the operational, logistical, and administrative aspects of events, ensuring timely communication, task completion, and on-site support. The ideal candidate will be organized, collaborative, and detail-oriented, with the ability to anticipate needs and adapt quickly in a fast-paced, ministry-centered environment.

Core Competencies:
Administrative Support & Scheduling:

Strong organizational skills for managing calendars, checklists, meetings, and logistical details for event planning.

Event Execution Assistance:

Ability to support day-of coordination including setup, volunteer communication, vendor check-ins, and troubleshooting.

Systems Proficiency:

Familiarity with key software including Monday.com (project/task tracking), Planning Center/CCB (church systems), and Google Suite (docs, sheets, forms).

Team Communication:

Clear, professional communication across departments, vendors, volunteers, and leadership to support event success.

Follow-Up & Documentation:

Skilled in capturing meeting notes, sending reminders, tracking post-event feedback, and updating project tools.

Essential Functions and Responsibilities:

Serve in excellence by being early and prepared for all scheduled meetings. Establish and foster an exemplary relationship with staff/non-staff workers, church membership, and the community at large. Demonstrate a servant’s heart by having a willingness to perform other duties as needs may arise. Pre-Event Planning & Coordination Assist with booking vendors, reserving rooms/venues, and confirming event logistics. Input event tasks and timelines into Monday.com and keep systems up to date. Schedule planning meetings, create agendas, and take notes for follow-up. Organize and maintain digital event files, signage inventories, and supply lists. Day-of-Event Support Arrive early and assist with setup, decor, signage, and technology coordination. Support check-in stations, volunteer coordination, and supply distribution. Act as a secondary point-of-contact for vendors and serve as the Director’s right hand on-site. Identify real-time needs and fill in where support is needed most. Post-Event Follow-Up Help collect and organize post-event feedback from attendees and volunteers. Ensure all supplies are returned, cleaned, and stored properly. Track post-event action items and communicate with stakeholders on outcomes. Contribute to post-mortem reviews with Director and Project Manager to improve future events. Administrative & Operational Tasks Maintain event-related communication templates and forms. Create reports or updates as requested by the Director. Support volunteer data entry or scheduling in CCB/Planning Center as needed. Other Duties Perform other related duties as assigned to support the church’s mission and vision.

Supervisory Responsibilities:
None Pay Transparency:

At Change Church Inc, we value transparency in compensation. Depending on relevant experience, qualifications, skills, and work location the target annual salary for this position ranges from $29.00 to $33.00 per hour. Comprehensive benefits also includes but are not limited to medical, dental, vision, FSA/HSA and 401(k).

Requirements:

1-2 years of administrative, event, or ministry coordination experience. Experience with Monday.com, CCB, Planning Center, and Google Suite preferred. Strong time management and organizational skills. Ability to lift/move supplies or equipment as needed for event setup. Availability for evening or weekend events.
