Position Summary:
The event assistant position is designed to be a supportive role to the sales and events team, both in the office and on-site at events. This role will give you a unique opportunity to apply your skills to a growing events department. You will be given hands on experience and will be provided with the training and tools to be successful in the event industry.
Essential Duties and Responsibilities:
Events and Sales:
Assist sales team with day-to-day operations, event planning, and event execution. Assisting with clients, creating proposals, managing pre-event planning and administrative tasks, and assisting with coordination during the event. Gathering event details and coordinating with managers during weekly meetings Being present at events to assist client and banquet team in executing each event Behind-the-scenes work by providing hands-on event execution support such as set up, tear down, registration, decoration, communication with onsite vendors, etc. Tending to the wedding couple, wedding party & family specifically for weddings Assist in greeting guests & answering questions Regularly interact and communicate with Pelham team members & external vendors in a friendly, upbeat, professional and courteous manner Experience in a professional office setting Client file management and detail management Online research of event industry practices, products, ideas, etc.
Manage Room Blocks:
Set up and maintain group room blocks in the property management system (PMS). Monitor pick-up rates and adjust block sizes and cut-off dates as needed. Communicate block status and updates to Sales and Front Office.
Reservation Coordination:
Input individual reservations within room blocks accurately. Ensure proper room types, rates, and special requests are honored. Coordinate with third-party booking platforms and group contacts as needed.
Reporting & Forecasting:
Generate reports on group pickup, availability, and pace. Assist Revenue Management in forecasting occupancy and demand.
Communication:
Serve as a liaison between clients, Sales Managers, and the Front Desk team. Send confirmations and rooming lists to clients in a timely manner. Coordinate pre-arrival details and special requests with relevant departments.
Customer Service:
Provide professional, timely, and courteous service to group contacts and guests. Resolve reservation issues or discrepancies efficiently.
Required Knowledge, Skills, Abilities:
Skilled in project management Computer savvy; proficient in MS Office Knowledge of TripleSeat is preferred. Outstanding communication (both verbal and written) Excellent organizational skills A knack for problem solving. Customer service orientated. A team player with leadership skills Ability to work well in a team and collaborate with various departments. Customer-centric attitude and commitment to providing exceptional service. Basic understanding of sales principles and customer relationship management. Flexibility to work evenings and weekends for events and meetings.
Education and Experience:
Strong banquet/catering experience.
Physical Requirements:
Must be able to move lift, carry, push, pull, and place objects weighing less than or equal to 50 pounds. Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity. Must be able to stand or walk for an extended period of time or for an entire work shift (range from 8-12 hours). Reach overhead and below the knees, including bending, twisting, pulling, and stooping.
