Events Coordinator 5.0 5.0 out of 5 stars Canton, MA 02021 Overview We are seeking a dynamic and detail-oriented Event Coordinator to join our team. The ideal candidate will be responsible for planning, organizing, and executing a variety of events, ensuring that each occasion runs smoothly and meets the expectations of clients and guests. As an Event Coordinator, you will play a crucial role in creating memorable experiences for attendees while maintaining a focus on budget management and client satisfaction.
Events Coordinator Responsibilities:
Private Functions, fields and ICC Events Actively market the ICC as a unique and competitively priced events and functions venue, including attending industry events, wedding venue, etc. by developing marketing campaigns to promote ICC. Coordinate sport field calendar, prepare contracts and mange relationships with teams. Handle all incoming inquiries for private functions and provide excellent customer service and follow up and maintain accurate contact records of all sales inquiries Manage the functions/events calendar and work cooperatively with the Programming Manager to ensure there are no scheduling conflicts Be attentive to each client’s event budget when planning event specifications, while also seeking to maximize event revenue as appropriate. Understand and be able to adapt to the complex needs of different events, and diverse clients Plan all aspects of events, including room selection, seating and food & beverage service and assist with preferred vendors when appropriate Coordinate event entertainment, including music, performers, and guest speakers. Generate function contracts, invoices and collect payments in a timely manner for deposits and final payments (cash, credit cards, checks), maintain accurate records of all event costs and revenues, including producing post-event profit and loss reports for Management review. Create Banquet Event Orders (BEOs) in order to keep all food & beverage staff apprised in a timely manner to ensure that all event needs are being met Cultivate and maintain working relationships with external food & beverage vendors and caterers. Manage all linen and rental supplies needed on a weekly basis for all functions/events and restaurant Manage and oversee events on the day of, including problem-solving, welcoming guests, directing event set-up, communicating with staff, organizing any external vendors, and arranging for event break-down. Anticipate and plan for possible different scenarios as events unfold, trouble-shooting as necessary. Work closely with Programming Manager for cultural events hosted by ICC (internal customer) that require coordination with the Events Team Other duties as assigned from time to time. Skills Proven experience in event coordination or related fields such as hotel management or restaurant operations. Strong organizational skills with the ability to manage multiple projects simultaneously while meeting deadlines. Excellent time management skills to prioritize tasks effectively in a fast-paced environment. Knowledge of budgeting principles and experience in managing event finances. Familiarity with fundraising techniques is a plus for non-profit events. Exceptional interpersonal and communication skills to liaise with clients, vendors, and team members. Creative problem-solving abilities to address challenges that may arise during event planning or execution. Proficiency in event marketing strategies to drive attendance and engagement. Flexible Schedule The schedule of the Events Coordinator has flexibility and demands of the position do change seasonally. The position does require one weekend day with the flexibility to decide alternative days off. During peak event weekends the Events Coordinator may be called upon to be onsite Saturday and Sunday. In the event of this scenario there is flexibility to chose alternative days off during the week. The Events Coordinator has flexibility to combine remote and onsite schedule weekly.
