Position Description The Graduate Assistant (GA) will work 20 hours per week and receive up to 24 credits of tuition and student fee waivers: 9 for fall, 9 for spring and 6 for summer. Overview and General Duties
The Event Operations Technology Graduate Assistant serves as a backup supervisor to the Assistant Director of Event Operations in the execution and logistical planning of event technology setups (i.e. visual projection, audio, microphone usage, etc.). This involves quality controlling work done by student employees both in the office and in event spaces. This position will involve leading and training a staff consisting of 30+ student employees across two positions and collaborating with team members in other departments within University Events. The Graduate Assistant will use their independent judgement and customer service skills to solve problems (i.e. last-minute event requests or event emergencies) with sponsors and other event staff. This position is aimed for someone looking to work in a team-oriented atmosphere, grow their leadership skills, and gain real world supervisory experience. Event Operations values the Graduate Assistant’s professional growth by providing them opportunities to gain first-hand experience in student development and leadership management. These opportunities include participating in conducting student evaluations, the hiring process of future employees, training, and providing support and growth opportunities to undergraduate student employees. Responsibilities
Manage the staffing of multiple Operations teams to produce and facilitate high quality events for the campus. This involves leading, mentoring, training, and scheduling of 30-40 student employees.
Quality controls the work done in the office and in event spaces completed by two different staff positions to provide the best quality of service for events on campus.
Processes a large amount of event confirmations with vast amounts of details by creating schedules, work orders, and quality controlling event details for accuracy and correctness.
Handles any last-minute requests or event emergencies and uses independent judgement and discretion to problem solve any issues and interacts with sponsors or other event staff to help resolve the issue and provide excellent customer service.
Coordinates with various areas to ensure the safe use of space, and efficient timing for setup and the delivery of required equipment with campus departments as needed.
Provides development opportunities for student employees by establishing professional standards through formal interviews, one-on-one meetings, and career and educational coaching.
Monitors and updates various procedural documents, training manuals, and equipment inventories.
Makes recommendations and ultimately implements changes in the Event Operations- Technology Services unit to increase efficiency and improve quality of service.
Assists with student employee evaluations and encourages students to set academic and professional goals.
Participates in the hiring process by recruiting, conducting interviews, giving feedback on potential candidates, and being involved in the final decisions on potential candidates.
Other duties/projects as assigned including creating training resources, equipment inventories, and work order logs. Preferred Qualifications Bachelor’s Degree required
Experience or willingness to learn how to supervise a student staff, including training, scheduling, and delegating to others.
Ability to work with students, faculty, staff, and external professionals.
Strong organizational skills, attention to detail, communication skills, decision making, and task prioritization.
Ability to think creatively and solve problems independently.
Must be team-oriented with a positive attitude.
Candidate must be able to work a flexible schedule, including some nights and weekends as necessary.
