Planning Reports to: Director of Planning & Management Division Summary/Objective The Planning Assistant is a highly visible role which demands a high level of professionalism and willingness to handle all planning and administrative details of meetings and events. Extensive communication skills, exceptional attention to detail, and first class organizational and customer service skills are required. This role is responsible for organizing and managing a wide range of events, including monthly meetings and annual conference for the MS Association of Planning and Development Districts as well as meetings for other local, city, county, and district associations and committees. This position also provides general office support to the Planning Department and will back-up the primary Receptionist on a rotation schedule during lunch and approved leave. Essential Functions Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Consult with Planning Director and clients to determine objectives and requirements for meetings, conferences, and other events. Coordinate services for events, such as facilities, catering, signage, displays, printing. Evaluate and select providers of services according to event requirements. Negotiate contracts with vendors, service providers and suppliers. Plan and develop programs, agendas, budgets and services for events. Handle all administrative details of events such as financial operations, creation and dissemination of promotional materials, and responses to inquiries. Organize and manage registration of event participants. Coordinate booth exhibit and personnel to enhance MAPDD presence at MML and MAS conferences.. Demonstrate the ability to speak confidently in front of a group and to tactfully handle difficult situations while maintaining a professional demeanor. Monitor legislative updates and track active bills related to District business interests. Record minutes from committee and board meetings, prepare formal report, file and share as required. Prepare correspondence as directed by committee members. Assist in preparation of grant applications, including binding, as needed. Evaluate and confirm scholarship applications the CMMA. Manage training sessions for Census Coordinators in the district. Assist with setup of conference calls and webinars for Planning staff. Handle mailings, operate postage meter, manage copy and drink machines’ operation and supplies as well as maintain stock of general office supplies for the building. Create and maintain electronic files for all grants, programs, and meetings of the Planning Department. Monitor, clip, and archive articles from area publications relating to the District. Maintain files and records; post and proof documents and other materials. Accepts and routes calls and/or messages for Planning Department. Acts as back-up and fill-in for office Receptionist in rotation with other personnel when Receptionist is away for lunch or on leave, routing calls, visitors, and mail. Position Type/Expected Hours of Work This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m. Travel Travel is primarily local in nature with some out-of-area and overnight travel expected. Required Education and Experience A Bachelor’s Degree from an accredited four-year college or university in Communications, Public Relations, or other Business-related field and at least two (2) years of full-time paid experience in related work. OR An Associate’s Degree or Technical Certificate in Administrative Assistance or Business-related field from an accredited community college or technical training institute, and four (4) years full-time experience in related work. Additional Eligibility Qualifications Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities a must. Ability to effectively present information and respond to questions from groups of government officials, clients, customers, and the general public. Strong interpersonal skills including experience building and maintaining relationships with a diverse network of individuals and organizations. Self-motivation, enthusiasm and willingness to learn are essential to this role. Excellent proofreading and editing skills with strong attention to detail are required. Proficiency in Microsoft Office products (Outlook, Word, Excel, and PowerPoint) is required. Experience with Adobe InDesign and YesEvents preferred. Must have and maintain a valid Mississippi driver’s license.
