This position is essential to ensuring smooth event execution at the Southport Community Building by providing on-site assistance to renters, vendors, and guests. The Specialist will also support city-sponsored events held outside the venue and contribute to marketing efforts promoting Southport’s event spaces.

This position reports to the Director of Community Relations and collaborates closely with the Building & Events Coordinator to maintain high standards of customer service, safety, and operational efficiency.

EXAMPLE OF DUTIES

Event Operations & Facility SupportBe present at events from start to finish, greeting renters and vendors upon arrival and addressing any questions or concerns.

Provide a high level of customer service, ensuring a positive experience for event hosts and guests.

Maintain a thorough understanding of building rules and conditions, enforcing policies as needed.

Monitor activities before, during, and after events, conducting regular walk-throughs of the facility and surrounding area.

Address and resolve potential issues, including notifying the supervisor of maintenance concerns or enforcing building rules.

Assist with setting up and breaking down event spaces when necessary.

Conduct walk-throughs and provide information to potential renters about facility usage.

Community Event AssistanceProvide logistical support for city-sponsored events held outside the Southport Community Building, as directed by the supervisor.

Coordinate with event organizers and city departments to ensure smooth event execution.

Assist with on-site event setup, troubleshooting, and operational needs.

Maintain accurate records, reports, and event documentation for supervisors and relevant staff.

Marketing & OutreachMonitor event venue inquiry platforms, respond to leads in a timely manner, and route necessary information to the Building & Events Coordinator for contract development.

Assist with promotional efforts, including creating and scheduling social media posts related to venue availability and upcoming events.

Collaborate with the Community Relations department to align messaging and promotional efforts.

Perform other related duties as required.

SUPPLEMENTAL INFORMATION

Knowledge, Skills, and AbilitiesStrong organizational skills and the ability to navigate challenges independently.

Familiarity with building policies and procedures, ensuring adherence to operational standards.
