This position will also be a key and visible member within the broader campus community, working closely with representatives from all divisions of campus to support admission events during open houses and admitted student days. Position Summary The Visit Programs & Event Coordinator will serve as a lead and primary point of contact for all Admission events and regular campus visit programming. They will be asked to collaborate with admission staff to oversee decisions regarding logistics, manage communications and online registration forms within the college database, create communication timelines, and draft event emails for invitations, reminders, and follow-ups. They must possess the ability to manage multiple projects simultaneously, work independently and collaboratively, and maintain a strong attention to detail. Through detail-oriented work, they will ensure admission events are engaging and impactful for prospective students and families, high school counselors, alumni, and other visitors. This position will also be responsible for conducting information sessions for campus visitors, evaluating applicants for admission, and occasionally assisting in local travel for college fairs and high school visits.

Essential Job Functions:

Visit and Event Planning Oversee the planning, coordination, and execution of daily campus visits and a variety of on-and off-campus admission events. Responsibilities include scheduling and reserving event spaces, managing tour logistics, coordinating catering and AV support, preparing event materials, engaging faculty and guest speakers, and creating detailed team schedules to ensure a seamless visitor experience – particularly during high-volume periods. Managing finances associated with all event programs including tracking all expenses and revenues to ensure adherence to the event budget. Liaise with faculty to coordinate class observations for prospective and admitted students, and facilitate communication between faculty and the Admission Office to provide meaningful academic previews when appropriate. Supervision and scheduling of student employees. Assist in developing the annual campus visit and event calendar to align with enrollment goals and campus-wide initiatives. Identify opportunities for enhancing event experiences and contribute to the development of strategies that improve student engagement and event outcomes. Lead coordination of travel arrangements for specially invited prospective and admitted students. Take on special projects and assignments that align with the office and institutional goals.

Essential Job Functions:

Admission Counseling Meet with prospective students and their families for individual and group information sessions. Counsel students and families on the admission and financial aid process. Assist in the reading and evaluation of admission applications practicing holistic admission review ultimately making a recommendation for admission based on academic and personal qualities for a highly selective, residential college experience. Occasionally assist in the coverage of college fairs, high school visits, and other admission programs off-site as needed. Required Knowledge & Qualifications Bachelor’s degree. At least two (2) years in event planning and management. Willingness to work on select evenings and weekends for events on- and off-campus. Ability to multitask, prioritize and problem solve as challenges arise within a fast paced, deadline-oriented work environment. Comfortable working within limited budgets while managing, building, and tracking expenses. Basic proficiency with technology systems (particularly spreadsheets and calendar applications) Willingness to learn additional software such as Slate Technolutions, Google Suite, EMS Booking and other technology applications. Excellent verbal and written communication skills. Strong editorial skills; able to write and edit effectively and efficiently. Ability to work independently and as part of a team. Sound judgment and a proactive, solution-oriented mindset. Empathetic, good-humored and professional demeanor with excellent, inclusive internal and external customer service skills that keep the best interests of Davidson and guests in mind. Demonstrate an appreciation for and sensitivity to a diverse academic community, fostering an inclusive environment for students, faculty, and staff from a variety of social, economic, cultural, ideological, racial, and ethnic backgrounds. Valid driver’s license. Preferred Knowledge & Qualifications Two (2) years of previous experience in a college admission or educational environment. Understanding of the nature and purpose of a residential liberal arts and sciences experience. Well-developed leadership ability, strong organizational skills, and self-motivation.
