Job Description
USNH Employees should apply within Workday through the Jobs Hub app The Development Assistant provides administrative, events, alumni relations, project management, and marketing support to the Advancement and Constituent Relations team, and in particular works most closely with the Director of Alumni Relations. The Development Assistant is the “face” of the Advancement team and will often be a person’s first point of contact with the College, and thus provides a critical function to the College. Duties/Responsibilities Administrative Support Manage general phone line and email; communicate and field incoming requests from alumni and other constituents Monitor the Alumni email box and respond to queries or redirect to appropriate individuals Support donor visits and other donor activities as assigned Coordinate student worker duties/schedules; Review and approve timecards for student workers and adjunct staff hourly workers Send and track reminders for sponsorship payments, such as Safety Fair sponsors Submit marketing requests in conjunction with sponsorships Order and maintain office and kitchen supplies as needed Maintain supplies in copy rooms (tidy/organize as needed) and coordinate service calls as needed Submit MROs for building maintenance at Alumni Building & College Camp (may change with shift of events) Assist with onboarding of new employees Update contact lists for Alumni Building & distribute Events/Alumni Relations Support Support logistics of all events including Reunion, Golden Circle, Evening of Jazz, and Momentum, as directed by event lead Manage event registration processes and tracking Attend events as directed, sometimes being the sole KSC representative, and manage event logistics in real time Support external events, including scheduling the College Camp, Norma Walker Hall, and other duties as assigned Coordinate the signing of Facility Use Contracts and receive payments for the College Camp and Norma Walker Hall Submit MROs for grounds / facilities related to event needs Submit performer contracts for review & approval Project Management and Marketing Support Manage Keene State Today deadlines and collect edits, and be liaison between Advancement Team, Marketing Team, and outside vendor(s) As assigned, manage deadlines and collect edits with other communication projects, and be liaison with outside vendor(s) and Marketing Team As appropriate, assist with communication projects such The Hoot.
Duties may include:
writing intro, compiling articles (from monthly meetings), sending drafts for review & approval to project lead, then sending final. Other duties as assigned. Minimum Qualifications Bachelor’s degree and two years of related experience involving progressively responsible duties or an associate’s degree and four years of related experience or five or more years of related experience involving progressively responsible duties. Effective written and oral communication skills; strong attention to detail; ability to assess and triage office traffic; proven organizational, analytical and problem-solving skills; demonstrated experience with MS Office systems, including MS Word, Excel, PowerPoint, Outlook; the ability to prioritize, and multi-task, balancing deadlines and unexpected urgencies as they arise, skilled at maintaining effective relations with both internal and external constituents while maintaining discretion with information of confidential and sensitive nature; work effectively both as a team member and independently as the lead on projects and events. Must demonstrate the highest degree of discretion and judgement in dealing with confidential information on all matters affecting the integrity of the Office. Administrative support experience at the executive level, preferably in higher education; intermediate/advanced computer skills.
