As a Wedding + Events Assistant, you’ll support the seamless execution of weddings and special events, ensuring each client feels welcomed, heard, and celebrated. No two events are the same, and your adaptability and attention to detail will help us bring each unique vision to life. Key ResponsibilitiesPre-Event Preparation Review final details provided by the Venue Director, including timelines, floor plans, vendor list, and client goals. Set the tone for the day: unlock the venue, turn on lights, adjust climate control, and ensure the space is guest-ready. Set up client-provided décor with care and creativity, helping bring their vision to life. Check and restock bathroom supplies to provide a clean and welcoming experience for all guests. Assist with outdoor setup needs, including directing guests and helping cars arrive safely and efficiently. Vendor and Client Interaction Greet and assist vendors upon arrival, answering questions and helping them feel supported. Welcome clients warmly and be available throughout the event to offer guidance and reassurance. Collaborate with the team to adjust lighting, music, and climate to create the perfect atmosphere. Event Execution and Cleanup Keep an eye on the event timeline and support clients and vendors in staying on track. Ensure the bar closes on time and all venue rules are followed with respect and professionalism. Maintain the venue’s cleanliness throughout the event—including common areas, outdoor spaces, and restrooms. Help clients gather and pack personal items and assist with loading out to end the night on a thoughtful note. Vendor Supervision and Venue Closure Confirm vendor breakdown is complete, including the removal of bar items, trash, and rentals. Ensure the venue is closed properly: lights off, HVAC adjusted, doors locked. Post-Event Reporting Send a short recap of the event to the Venue Director, including notable wins and challenges.
