Job Summary:
The Event Manager role is responsible for the planning and successful execution of in-person events, including multi-day conferences. This position requires a highly organized, detail-oriented individual with strong communication, negotiation, and project management skills. The Event Manager will manage all aspects of event logistics, from pre-planning to on-site execution, ensuring that events are delivered on time, within budget, and meet the defined objectives. This role requires a proactive, resourceful, and solution-oriented approach to managing multiple projects simultaneously and a commitment to meeting project timelines and delivering work promptly.
Key Responsibilities:
Negotiate with vendors to secure cost-effective services while maintaining quality. Ensure all contracts align with budget constraints and event objectives. Research, evaluate, and book venues that meet event requirements. Negotiate favorable contract terms, including pricing, space usage, and cancellation policies. Monitor and update hotel room block needs based on attendee demand. Communicate with hotels to adjust allocations as necessary, avoiding overages or shortages. Define AV and production requirements, ensuring all technical aspects (lighting, sound, presentations) are executed flawlessly. Troubleshoot issues on-site as needed. Work with catering vendors to select appropriate menus, ensuring dietary preferences and budget considerations are met. Ensure all event materials, including signage, branding, and materials, are produced, packed, and shipped within appropriate timelines to arrive on-site as needed. Maintain up-to-date event tasks within Workfront, ensuring timelines are met. Provide regular updates to stakeholders to keep everyone informed of event progress and changes. Collaborate with project management to strategically plan and allocate on-site staffing for optimal event execution. Provide hands-on support during the event, including setup, logistical coordination, and breakdown, while proactively troubleshooting any issues that arise. Continuously refine event planning processes, implementing efficiencies and best practices to improve execution. Conduct post-event evaluations, analyzing attendee feedback and performance metrics. Identify areas for improvement and provide strategic recommendations for future events.

Education:
Bachelor’s degree required
Experience:
3+ years of event planning and execution

$60,000 – $70,000 per year, depending on qualifications. Eligible for annual company bonus program or commission incentive based on role. The compensation offered to the candidate selected for this position will depend on several factors, including the candidate’s educational background, skills, and professional experience.
