Job Overview:
We are seeking a dynamic and organized individual to join our team as a Convention Center Administrative Assistant/Event Coordinator. In this role, you will be responsible for coordinating and managing events hosted at the convention center while providing daily administrative support to the office operations. The ideal candidate will possess exceptional communication abilities, excellent organizational skills, a strong attention to detail, to deliver high-quality service to our clients and guests.
Responsibilities:
1.
Administrative Support:
- Assist with administrative tasks such as managing contracts, answering phone calls, and responding to inquiries.
- Maintain accurate records of event bookings, contracts, invoices, and payments using event management software or databases.
- Assist in preparing event budgets, tracking expenses, and minor accounting.

Event Coordination:
- Work with clients to produce their events, representing the Convention Center.
- Coordinate all aspects of event planning: including, not limited to, scheduling, logistics, services, and floor plans.
- Collaborate with internal departments, vendors, and contractors to ensure that all event details are executed seamlessly.
- Conduct site visits with clients to showcase venue, layout options, and address specific needs and/or details for successful event production.

Customer Service:
- Serve as the face person of front office for event organizers, exhibitors, vendors, and attendees.
- Provide exceptional customer service by addressing inquiries, resolving issues, and ensuring a positive experience for all patrons.
- Onsite support during events to ensure smooth operation and client/attendee satisfaction.

Venue Maintenance and Safety:
- Ensure that venue spaces are clean, well-maintained, and set up according to event requirements.
- Familiarize yourself with venue safety protocols and emergency procedures to ensure the safety and security of guests and staff during events.
Requirements:
- HS diploma(minimum)/Associates degree.
- Strong organizational skills and ability to manage multiple tasks simultaneously.
- Excellent communication and interpersonal skills, both written and verbal.
- Proficiency in Microsoft Outlook, Excell, Word
- Ability to work flexible hours, including evenings, weekends, and holidays, as required by event schedules.
- Demonstrated problem-solving abilities and ability to remain calm under pressure.
- A positive attitude and a passion for delivering exceptional customer service.
Work Environment:
The Convention Center Event Manager/Administrative Assistant will primarily work in an office environment but may also be required to attend events and meetings onsite. This role may involve occasional lifting, moving, or arranging event equipment or materials.
