Overview:
The Bookstore Administrative Manager will provide administrative support to all facets of the Housing Works Bookstore, focusing mostly on Private Events. They will be involved in all aspects of sales and operations for Private Events, with a goal to bring in new business, respond to inquiries, interface with clients, and provide tours of the venue. This position will work closely with the Director of the Bookstore and Marketing team to generate new revenue streams for the Bookstore. This position will also have an HR element and will assist with recruitment, interviewing and assisting with the management of the Bookstore Ready For Work and Justice Initiatives interns.
Responsibilities:
Primary job responsibilities include: Handle inquiries, process new quotes, and contracts for private and other events held at the Bookstore, including public/author events Host tours for potential clients Run final meetings/walkthrough with clients Maintain the inquiry log and accurate event records in Salesforce Keep event calendar updated Responsible for staffing all private events, managing/training per diem event staff, and approving timecards to per diem event staff Responsible for post-event summaries and P&Ls Assist with all logical aspects of event production, execution and work as a venue manager in the absence of per diem staff Assist with marketing and social media efforts promoting all events in the Bookstore Assist with administrative tasks surrounding Bookstore fundraisers Researches and implements other revenue streams for the Bookstore. This includes grant applications and alternative format events. Assists with recruitment and interviewing for Bookstore staff. Works with Volunteer Coordinator, Bookstore Store Manager and Oline on the management and development Bookstore of interns from Ready For Work and Justice Initiatives. Secondary job responsibilities include : Maintain and communicate a continuous and recognizable standard of event execution, services and goods Maintain accurate inventory of beverages and events equipment Place and receive orders, including beverage and rental and check for accuracy Organize and maintain events storage areas, facilities and storage upkeep Track and follow-up on all equipment and facilities maintenance Maintain professional and technical knowledge by attending training meetings/sessions and through independent study. Be a Housing Works Ambassador by knowing and communicating the Mission Statement, outreaching to the community, and participating in a minimum of four direct actions per year aimed at ending the twin crises of homelessness and
HIV/AIDS.
Perform other duties as directed by your supervisor, VP of Retail and Marketing, CRO, President and Thrift Shop board members Minimum Requirements Experience in event management or event sales preferred Knowledge of Microsoft Office with proficiency in Excel Knowledge of Salesforce or other CRM database preferred Knowledge of Square or other POS system preferred Some flexibility in hours/scheduling required; including occasional weekends, evenings, and holidays The following additional competencies are viewed as important to success in this position: Self-starting, self-motivating mindset Excellent customer service skills Excels under pressure in a fast-paced environment Excellent organizational skills and attention to detail Ability to work independently with little supervision with a hands-on approach Ability to multi-task
