This role is the connective tissue that keeps our operation running smoothly, bridging communication between clients and internal departments, managing documentation and timelines, and ensuring every event is executed precisely and professionally. What You’ll Do Serve as the first point of contact for event and catering inquiries; manage calendars and availability across multiple spaces. Draft, revise, and manage event documents—quotes, proposals, invoices, and contracts Coordinate studio and catering bookings; issue confirmations and updates to internal departments.s Maintain detailed records of client communications, event specs, and change requests. Schedule site visits, tastings, and vendor meetings Liaise with internal departments—including catering, production, and facilities—to align event logistics Track payments, deposits, and invoicing in coordination with the accounting team Prepare detailed post-event recaps and support client follow-up. What You Bring 2-3 years of administrative experience in events, catering, hospitality, or a related industry Excellent communication and writing skills Strong organizational instincts and keen attention to detail Proficiency with Google Workspace, Excel, and calendar management tools Experience with QuickBooks or similar invoicing and bookkeeping software Ability to juggle multiple priorities with grace and efficiency Experience in a studio, production, or creative environment is a strong plus
