Job Description

Front Desk Office Coordinator 26/hr Forrest Solutions New York, NY 10039 As a Community Ambassador, you will be at the forefront of creating a welcoming and inclusive atmosphere, providing outstanding customer service to visitors, residents, and team members. In addition to your ambassadorial duties, you will serve as the Meeting Coordinator, playing a pivotal role in the successful planning, execution, and follow-up of meetings and events within our community. Your ability to build strong connections, combined with exceptional organizational skills, will be instrumental in cultivating a vibrant and engaged environment. This position reports to the Lead Office Services Manager.

8:00 am to 5:00 pm Pay rate: $24 to $26/hr

Key Responsibilities:
Community Ambassador:

Greet visitors and residents with warmth and professionalism, ensuring a positive first impression. Serve as a resource for community members by answering questions, providing directions, and addressing concerns promptly. Foster a sense of belonging and inclusivity by engaging with residents and visitors, promoting community events, and offering personalized service. Maintain the appearance and functionality of communal spaces, ensuring they are clean, inviting, and well-stocked with necessary materials. Act as the liaison between community members and management, escalating concerns or feedback when necessary.

Meeting Coordinator:

Manage the scheduling and logistics of meetings and events, including room reservations, catering, AV setup, and attendee communication. Coordinate with internal teams and external vendors to ensure all meeting requirements are met seamlessly. Prepare meeting spaces with attention to detail, ensuring technology, materials, and refreshments are ready in advance. Oversee the execution of meetings and events, providing on-site support to troubleshoot issues and ensure smooth operations. Conduct post-event follow-ups to gather feedback, assess success, and identify areas for improvement.

Qualifications:

2+ years of experience in hospitality, customer service, or event coordination. Strong interpersonal and communication skills, with the ability to engage with diverse groups of people. Exceptional organizational abilities and attention to detail. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Experience with scheduling tools and event planning software is a plus. A proactive, problem-solving mindset with the ability to multitask and prioritize in a fast-paced environment. Positive attitude, high energy, and a genuine passion for community-building.
