Founded in 1787 to “lessen human misery,” it is one of the oldest professional organizations in the country, with over 1,000 active Fellows. The College is home to the Mütter Museum, the Historical Medical Library, and the Centers for Public Health and Education. Position Summary Under the supervision of the Events Manager, this position supports the development, planning and execution of all events, including endowed and Section lectures, concerts, and Museum & Library, Fellowship and cultivation events. The Events Coordinator will assist the Events Manager with all areas of event planning, including but not limited to vendor management, communicating and arranging catering, and more. The Events Coordinator works closely with the Facilities Rental office on logistical specifications for events and helps maintain the College’s events calendar. In collaboration with the Senior Director of Communications, the position also manages all event marketing by organizing and distributing promotional messages via email, social media, printed programs, and signage. Additionally, the Events Coordinator will update and maintain College event data via monthly revenue reports, and will regularly update internal event data documentation. Significant evening and weekend work is required. The College of Physicians of Philadelphia Birthplace of American Medicine® 2 5/30/2025 Primary Responsibilities Lectures and Events Planning and Implementation (75%) Assists the Events Manager in the planning and implementation of College events. Collaborates with the Development team to set an events calendar for the year. Serves as the primary event manager during all Section events and a select number of College events, as determined by the Events Manager. With the Events Manager, inputs all events in the room rental Outlook calendar, and ensures the calendar is up to date. Assists the Events Manager in the creation of new events for Mütter Members. Tracks/communicates weekly event reports to select staff. Maintains monthly event revenue reports and maintains regular event data collection, including attendance numbers of all College events, and maintains accurate expense information for all programming. Other duties, as assigned. Qualifications and Skills Required At least one (1) year of experience with event planning. Effective communication and interpersonal skills. Good writing and editing skills. Ability to prioritize, plan, organize and multi-task. Ability to take initiative and “think on your feet.” Demonstrated ability to thrive in a demanding environment with multiple priorities, deadlines, and expectations. Excellent administrative skills and attention to detail. Evening and weekend work is required. The College of Physicians of Philadelphia Birthplace of American Medicine® 3 5/30/2025 Preferred BA or BS desired, preferably in a related field such as hospitality, museum studies, or nonprofit management. . Experience using Microsoft Office Suite, Adobe Creative Suite, Altru, MailChimp (or similar), and social media. Physical Demands / Work Environment Ability to work both remotely and on-site at the College, as necessary. General open office environment with moderate noise (e.g., computers and printers, light foot traffic from visitors and guests). Computer usage involving repetitive hand/wrist motion is necessary. Position requires face-to-face interaction with staff members (in person and remote), the ability to converse and communicate effectively, and the ability to document conversations and interactions in writing. Job Classification and Schedule Full-time, Exempt. Position is Monday through Friday, with significant evening and weekend work required.
